Purpose for the Position:


The purpose of this position to detail incoming events, qualify in-coming sales calls, book, detail, and service assigned events, banquets, and meetings.


Essential Responsibilities:


  • Provide professional and courteous service at all times.
  • Monitor and respond to booking leads through different channels, including wedding wire within the required time frame of 2-4 hours
  • Detail incoming events. Ensure changes are completed on the BEO and signed off by client
  • Audits Sales System (STS, Delphi, sales Pro, light speed, etc.) for accuracy, space conflicts and space control on behalf of the department director
  • Distributes and updates all banquet event orders in a timely fashion ensuring all necessary departments have sufficient time to properly accommodate all client needs and requests.
  • Work with other department heads to ensure all audio equipment is ordered, set up and tested prior to guest use.
  • Ensures guaranteed counts are received and compliant to the terms of the contract
  • Obtains group room rooming lists, enter into the PMS system while monitoring the hotel inventory
  • Handles all details of bookings after contracts are executed.
  • Maintain a direct line of communication between booked groups and the hotel staff, relays information in a proper timely fashion to both the client and hotel staff.
  • Makes immediate contact with all clients prior to their event, performs all manner of proper correspondence and follow-up procedures; assists the clients with all arrangements and details for their event.
  • Maintain enthusiasm and interest throughout all stages of the event planning.
  • Maintains current filing system account and prepares required reports as requested.
  • Prepare BEO packets and layouts for the team.
  • Attends weekly Banquet Event Order Meetings and Leadership meetings.
  • Assist Director of Sales in pre and post cons with clients and hotel staff.
  • Complete projects as determined by the Director of Sales & Marketing.

  • Maintain enthusiasm and interest throughout all conferences with buyers and sellers.
  • Keep accurate records of contacts, sales, and purchases.
  • Possess excellent communication skills both verbal and written.
  • Travel to local promotional or industry events.
  • Be available on nights, weekends, and holidays.

Physical Demands: Lifting 20 lbs. maximum with frequent lifting and/or carrying of objects weighing up to 10 lbs. Requires walking or standing to a significant degree, talking, hearing, seeing.


Environmental Conditions: Inside: Protection from weather conditions but not necessarily from temperature changes. A job is considered "inside" if the worker spends approximately 75% or more of the time inside.


Math Skills: Requires mathematical development sufficient to be able to: Compute discount, interest, profit and loss, commission, markups and selling price, and percentages.


Language Skills: Must have developed language skills to the point to be able to: Read newspapers, periodicals, journals, and manuals. Write business letters, summaries and reports using prescribed format, and conforming to all rules of punctuation, grammar, diction, and style. Participate in discussions and debates. Speak extemporaneously on a variety of subjects.
