Penobscot Valley Hospital is looking to fill a full time Buyer position. Hourly rate, non-exempt, union.

The Buyer will research and purchase products used in clinical and non-clinical settings in support of the Hospital’s operations.
This position reports to the Director of Materials Management.

JOB FUNCTIONS
1. Responsible for the daily ordering activities to maintain adequate supplies in all
areas, including following established ordering/payment procedures for each
vendor and coordinating with accounting throughout process. Includes but not
limited to generating purchase orders (PO), maintaining vendor information,
ensuring accuracy of items, inventory data, etc.
2. Ensuring data within Materials Management system is up to date and accurate
with GPO or other pricing.
3. Investigate price changes at time of order and using best judgement as to whether
pricing needs further research before purchasing, or if order is urgent and pricing
can be corrected post-purchase.
4. Assists with maintaining GPO contract connections and electronic letters of
commitment, utilizing data sources available (GPO account manager, CPSI data,
etc) to analyze total spend and competing contracts to ensure engaging in a
contract is appropriate and which tier. Discusses with Director before making
commitments.
5. Assists with contract process, reviewing contracts submitted from departments for
completion and accuracy, discussing GLs and any abnormal payment terms with
accounting (such as a deposit), generating the PO, scanning documents, sending to
vendor and/or calling order/contract into vendor if needed, and sending
documents by email to all relevant internal staff members and Director of
Materials Management.
6. Assisting with inventory related projects, such as data maintenance during
distributor, GPO, or vendor transition.
7. Understands biomedical equipment and patient equipment purchasing process,
ensuring equipment requiring biomedical tracking is held for biomedical engineer
and general patient equipment gets labeled with a “Property of PVH” tag.
8. Utilizes PO notes section to clearly communicate any and all instructions for
receiving staff and maintenance as to where equipment (and other goods) should
be placed when received, and final destination of equipment.
9. Monitoring outstanding order report, contacting vendor for updates and
resolution, and communicating back to affected departments.
10. Coordinates return/credit/shipment discrepancies with vendors and following
process through to resolution with Accounting.
11. Coordinates the sale of equipment or supplies no longer needed, ensuring all
necessary paperwork is completed.
12. Participates in annual inventory process, including physically counting stock and
keying data into Materials Management system.
13. Assists Director of Materials Management with other projects/tasks as requested,
or projects/tasks for other departments as directed by the Director of Materials
Management.
14. Provides some assistance in Central Supply with physical handling of material as needed.
15. Seeks additional tasks/projects when current workload is completed.

16. Actively participates in the Hospital-wide Quality Improvement Program, actively
supports and implements Department-specific Quality improvement initiatives and
projects, recommends process improvement as appropriate, reports any quality
issues in service delivery and consistently commits to a focus on quality
improvement and organizational excellence.

17. As an employee of Penobscot Valley Hospital, the position has an inherent role
to care for our community members when in need. To this regard, the incumbent
will be expected to participate in emergency/disaster preparedness planning and
drills as requested. When called upon during a real life disaster/emergency event,
the incumbent will be expected to participate in the Hospital’s response to this
event, within the scope of professional and personal ability to do so.


Qualifications

Associates Degree in Business or related field, or equivalent experience required.

Demonstrated proficiency with computers, including navigating the internet and vendor sites, as well as Microsoft Office (i.e. MS Word, Excel, etc).

Must be detail oriented with demonstrated ability to multitask and prioritize workload efficiently to meet deadlines and complete
projects in a timely manner.

Proven success working both independently and as part of a team. Strong desire to learn, and a willingness to accept feedback is a must.
