Position Summary: This position is responsible for the efficient, successful and appropriate processes, functions, and coordination of the Home Care office. Clear and effective communication will be necessary with clients, associates, vendors, and contractors. This position will handle all office processes such as payroll, caregiver/client documentation collection and filing, accounts payable, petty cash and expenses. Focus on timely and accurate submission of reports as well as billing and payroll processes. May assist in office staffing and recruitment process and operations as a means to optimize office operations. Reports to the Business Operations Manager/Director of Home Care Operations.


Essential Functions:

  • Answer all incoming calls and direct calls to the proper personnel
  • Provides in-take discovery to ascertain specific needs of clients
  • Understands the specific needs of the client and helps assign the appropriate caregivers alongside staffing coordinator/recruiter.
  • Utilizes company software/systems effectively and appropriately.
  • Ensures accuracy with client payments and invoicing; answers billing questions.
  • Ensures that payroll is accurately prepared and processed on a bi-weekly basis.
  • Processes manual checks, voids, adjustments as needed.
  • Ensures that accounts payable procedures are timely & accurate.
  • Keeps personnel records accurate and maintained according to regulations and company policies.
  • Held accountable to accuracy and compliance of Smartcare platform.
  • Documents all pertinent information on client records, including financial/billing and client/family demographic information
  • Assists in the retention of staff and clients
  • Files and maintains all documents appropriately. Distribute documents to the appropriate staff member for approval or completion
  • Maintains up to date ‘available lists’ for expediency in staffing
  • Maintains schedule in accurate and legible form
  • Assists in and oversees recruitment process involving screens, interviews and hires of new associates in accordance with company policies and procedures.
  • Relays client care concerns and changes in condition to the Director/Nursing Supervisor immediately.
  • Conducts orientation for new staff
  • Complies with applicable governmental laws and regulations.
  • Processes/files worker compensation and leave of absence requests.
  • Ensures associate compliance with license continuing education requirements
  • Participates in Manager on Duty Program (see below)

Manager on Duty Program

  • All management staff will be on call on a rotating basis 1 week at a time. On Call will include after 5pm Monday through Friday, all day weekends and holidays
  • Answers incoming calls promptly and efficiently. An immediate response is required.
  • Promptly communicates issues/concerns/actions to Director or RN Supervisor
  • Completes and maintains on call report on a daily basis
  • Reviews on call report with appropriate personnel weekly/daily as needed
