This position is located in the Sheriff’s Office at the Detention Center and is responsible for answering incoming phone lines, filing, copying documents, processes court dates and paperwork, assists in the booking process of inmates, maintains the organization of the property room and other various tasks assigned to free up Booking Officers and the Booking Sergeant on duty. This position reports to the Booking Sergeant and does not supervise other County personnel.

BOOKING ADMINISTRATIVE DUTIES

  • Answers the phone lines in the Booking Room, provides assistance to the caller, responds to questions and directs/transfers all phone calls to the appropriate staff member.
  • Conducts routine booking duties including copying, faxing, filing, emailing, and laminating of various documents.
  • Corresponds with the courts, public defenders, attorneys, facility medical staff and law enforcement on setting up court dates, data entry, processing court paperwork and various inmate paperwork and information.
  • Organizes and works in the property room on a day-to-day basis.
  • Interacts with the inmates during the in processing and out-processing booking procedures.

Examples Of Essential Duties:

This position requires the knowledge of general record keeping, business English, standard office procedures, and a thorough knowledge of modern business machines and equipment. This position will be required to understand and follow the requirements outlined to protect information in the Health Insurance Portability and Accountability ACT (HIPAA) as well as other confidential inmate information. This position must have basic computer skills in Outlook, Word perfect, Excel and various other office software methods, practices and procedures. This position must have the ability to apply knowledge; type and calculate accurately; perform administrative duties; exercise courtesy and tack in receiving the public and in giving and obtaining information; follow written and oral instructions; communicate effectively both verbally and in writing; establish and maintain cooperative relationships with those contacted in the course of work; ability to calmly and appropriately assist an occasional angry or hostile individual and the ability to multi-task, prioritize, organize and problem solve. Position also requires interpersonal skills and the knowledge and skills of multi-line phones systems, two-way radio systems, safety and security of a secure facility (policies and procedures), an understanding/knowledge of court paperwork; the ability to work with a diverse population and maintain a professional and positive image of the Sheriff’s Office.

Typical Qualifications:

The required knowledge, skills and abilities are typically acquired through a combination of education and experience equivalent to a high school diploma and one year of office related work experience.

Note: This is a union position under the Deputy Sheriffs’ Association negotiated agreement with Gallatin County.

Supervision Exercised: This position does not supervise other County personnel.

Work Environment/Physical Demands: The work environment may involve high-risk situations with exposure to potentially dangerous situations or unusual environmental stresses. These situations require a range of safety and other precautions which may require input or support from law enforcement personnel. This position is full-time and has an 8 hour work day, Monday through Friday. Exceptions may apply due to events or special projects. The Civil Clerk/Process Server must be able to adjust their hours and days/nights and holidays to accommodate such circumstances. In performing their duties of this position, the employee is required to regularly stand, walk, sit, use hands to feel, must be able to talk and hear, reach, balance, stoop, kneel, crawl, crouch and climb. The position is a member of the local Association related to the Gallatin County Sheriff’s Office

Job Type: Full-time

Pay: $17.04 - $21.64 per hour
