Location: Clermont Florida

Operational Hours: Monday-Friday (9am-6pm) and Saturdays (10am-4pm); Closed Sundays

Status: Full-Time; Hourly + Commission, Non-Exempt

POSITION OVERVIEW

The Boat Sales/Office Administrator is responsible for providing administrative support to ensure efficient operation of the office. The Office Administrator supports managers and employees through a variety of tasks related to organization and communication. This individual is responsible for all paperwork, advertising, posting, and communication within the sales department. The Office Administrator is responsible for gaining knowledge in all of Tommy’s Boats departments and relaying that knowledge to customers as they visit or call in to Tommy’s Boats.


ESSENTIAL DUTIES & RESPONSIBILITIES

  • Execute all clerical and office management functions
  • Keep accurate records of daily, weekly, and monthly meetings, including follow up actions from previous meetings
  • Keep boat inventory accurately updated both online and in office
  • Participate in the ordering and scheduling of new boat inventory
  • Responsible for registering all boats for their warranty
  • Assist in hosting and facilitating events
  • Responsible for registering and titling boats and trailers, providing paperwork to customer, and obtaining hull ID numbers
  • Responsible for the preparation of purchase/ buyer agreements, as well as any Finance and Insurance paperwork
  • Maintain an organized filing system for new and used boats
  • Proficiently interface with our boat and customer inventory via “Dealership Advantage” (dealer software)
  • Attain a high level of knowledge regarding Malibu, Axis, used inventory and their features
  • Stay connected with what is happening in the boat/watersport industry (events, contests, pro rider news) and passionately share this info with customers to generate interest in what we are selling
  • Various office duties: light cleaning, answering calls and greeting clients
  • Drop bank deposits, collect and distribute mail, and code credit cards
  • Assist where needed in office duties such as Exception Billing, Order Researching, and filing of paperwork
  • Assist with submitting warranty claims and following up with appropriate vendors
  • Answer phone calls and reach out to customers for payment follow up
  • Any additional tasks are required by supervisor

QUALIFICATIONS

  • High school education required; Associates degree preferred
  • Proficient in Microsoft Suite, including Outlook, PowerPoint, Excel, and Word required; experience with CounterPoint and Dealership Advantage preferred
  • Detail oriented with exceptional self-awareness and accountability
  • Self-directed and motivated, with the ability to identify and anticipate tasks to perform in a fast-paced environment
  • Sharp problem-solving skills paired with a proactive mindset
  • Very strong organizational skills with the ability to prioritize and multitask while staying focused
  • Excellent communications skills, both written and verbal
  • Ability to interact professionally with colleagues, clients, and company personnel; ability to communicate information clearly and effectively both orally and in writing
  • Ability to work outside of normal operating hours as needed
  • Ability to honestly and openly communicate any mistakes or mishaps made and learn from them

Employee regularly uses hands and fingers to touch, feel, and handle. Employee regularly stoops, kneels, bends at the waist, and reaches. Employee is frequently required to speak and hear. Must be able to lift up to 25 pounds on occasion.
