Description:

This position is responsible for providing direction, leadership and supervision for all operations of the Credit Union 1 Arena and UIC Dorin Forum. The position is also responsible for all facility maintenance and support including HVAC, infrastructure elements and housekeeping. In addition, the position will recommend operational changes to better support clients and facility's efficiency.

Duties & Responsibilities

Event Management:

  • Ensure that all events are properly staffed (including event staff, security, catering, concessions, AV, housekeeping, production and stagehands), the facility is clean and that all agreed upon client requests are met.
  • Develop and implement policies and procedures to assure industry best practices are being utilized and venues comply with university guidelines and policies.
  • Oversee the coordination of all buildings policies, equipment and supplies that are required for events. Completing this task will require following best practices for procurement, identifying the appropriate goods or services and identifying vendors that are able to meet schedules and materials requirements.
  • Responsible for assuring proper conditions of the exterior of the building including signage, sidewalks, building envelope, roof, dock, delivery areas and waste removal areas. This duty includes responsibility for assuring that snow is removed, and sidewalks and surrounding areas are clear of ice, debris, standing water and trip hazards. Recommendations for improvements should be made to the Director.
  • Responsible for assuring that there are proper staffing levels of the external labor force for event set-up and day-of events schedule. This requires close coordination with outside labor vendors and union laborers. As necessary, assists in the supervision of other support staff including ushers, ticket sellers and office staff.

Organizational:

  • Provide support to Assistant Director of Operations and Senior Event Administrator as needed. This includes helping Event Administrators finalize agreements or providing assistance with managing events/clients.

Management:

  • Assist the Executive Director, and act for him/her, in his/her absence, by assuming responsibility for decision-making without specific instructions.
  • Maintain excellent working relationships with Student Affairs trades (electricians, building engineers, etc.) and schedule work when needed.
  • Analyze operational expenditures to ensure venues are operating at peak efficiency. Analyze all purchase and service agreements to ensure venues are obtaining the best possible price and review invoices for accuracy.

Budgetary:

  • Develop Repair and Replace (R&R) and capital expenditure budgets and plans on an annual basis for each venue.
  • Assist in the preparation of annual budgets related to Arena and Forum operations. The budget preparation may be a comprehensive budget or segments of each venue production budget.
  • Serve as the liaison with UIC Facilities Management and Capital Programs Departments to assure that project budgets, schedules and work outcomes are delivered as expected.
  • Attendance at meetings and making onsite visits is important to stay informed of project progress and issues.

Safety:

  • Work closely with the Office of Environmental Health and Safety and UIC PD to ensure venues are operating using best practices as relates to safety.
  • Ensure all evacuations plans are up to date and that staff is trained annually.
  • As necessary, assist in ensuring that there is safe bailing ingress and egress for guests.

Customer Service:

  • Assist in resolving guest problems, threats to public safety and emergency situations.

Qualifications:

Minimum Qualifications


  • Any one or combination totaling three (3) years (36 months) from the categories listed below:
    • Coursework in a business-related discipline, as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate’s Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)
    • Departmental managerial-level experience in a large public assembly building of at least 2000 seat capacity.
  • Two (2) years (24 months) of departmental managerial-level experience in a large public assembly building of at least 2000 seat capacity.

Preferred Qualifications

  • Five Years’ Experience managing the operations department of a large public assembly facility (5,000 seats or more).
  • Experience managing large events and having responsibility for set-up and take down.
  • Involvement and experience with the component parts that support large scale events.
  • Experience managing sound, lighting, rigging, audio visual and seating setup.
  • The ability coordinate setup of staging directing large crews is also an important skill.
