The Assistant Director will provide professional analytical research, leadership support, and information services to ensure development officers are working with prospects and donors who have the greatest potential for philanthropic impact to the University. Reporting to the Director of Prospect Strategy & Research (PSR), this position will ensure excellence in partnership with fundraisers in pipeline development and portfolio management, including training and communication. The incumbent will collaborate closely with Advancement Intelligence teams on institution-wide strategic initiatives and develop and implement departmental and organizational policies and procedures. Additionally, the Assistant Director will be responsible for a special project as assigned by the Director of PSR. This is a remote position.

Role and Responsibilities:

Portfolio Management

  • Act as a strategic partner to development leadership of assigned colleges/units in prospect strategy development and documentation.
  • Identify creative, strategic methods to help development officers engage prospects.
  • Recommend prospect assignments and quality prospect pools to development officers (DOs).
  • Meet regularly with assigned DOs to gain thorough understanding of assigned campaign priorities, DO portfolios and short/long term prospect goals.
  • Conduct quarterly Gator Portfolio Support (GPS) meetings (including meeting preparation and follow-up) with all assigned DOs to provide key support and insights and to facilitate strategic conversations regarding pipeline development, prospect development and portfolio strength.
  • Provide ongoing analyses of portfolios, moves and stages.
  • Make updates in the database related to DO portfolio assignments.
  • Track and measure qualification activity for all managed units.
  • Manage yearly Medicine Reunion referral project.

Staff Management and Leadership

  • Directly supervise prospect strategy analysts and/or research analysts in the Health Science Center Vertical, including hiring, onboarding, training and professional development, delegating duties, mentoring, certifying time and attendance, performance management (including annual appraisal) and performance action plans.
  • Provide weekly updates to Director for activity within assigned vertical.
  • Support the Director with driving the annual planning process for the team and ensure alignment with organizational objectives and campaign priorities, such as pipeline building, portfolio management, and top prospect cultivation.
  • Provide comprehensive orientation and facilitate ongoing professional development for managed staff ensuring a high level of service delivery to unit partners and central leadership.
  • Assist the Director to develop long-term strategic plans, including new initiatives and programs, ongoing analysis of current state, drafting of goals, developing of metrics, securing of resources, and tracking of progress against goals.
  • Support and model a positive and collaborative team culture.
  • Track and review remote team goals to ensure continuity and team productivity of remote workers in assigned vertical.

Special Projects

  • Attend and participate in meetings, workgroups, committees and other internal responsibilities.
  • Execute special campaign projects as identified by leadership, which may include leading a workgroup, conducting targeted research and analysis, partnering with units and internal groups, and developing and executing recommendations.
  • Participate in CRM Implementation meetings as Subject Matter Experts representing PSR and Development staff, including assigned Implementation Teams and sprint meetings.
  • Other Special Assignments
    • Work on other special projects as assigned (e.g. University priority projects, Planning and Conducting internal and/or external training, etc.), as assigned by the Director.
    • In this capacity you will be responsible for all planning, tracking and communication regarding the assigned project.
    • Specific metrics for the special project will be assigned during the annual performance appraisal and planning process.

Strategic Research

  • Provide professional prospect development, analytical research, leadership support, and information services in support of the fundraising goals and objectives of UF Advancement.
  • Identify, qualify, rate and assign major gift prospects to DOs in support of fundraising goals and objectives.
  • Prepare thorough, accurate and timely profiles on UF constituents (alumni, friends, parents, corporations and foundations) as needed to support fundraising initiatives.
  • Use a variety of analytical techniques to resolve or provide information regarding complex research and data challenges.

Tools, Training & Communication

  • Drive a consistent approach to research and prospect management across units through regular communication with unit leadership and staff, ongoing training, and alignment with campaign priorities.
  • Contribute to evaluation and refinement of research tools and departmental policies and procedures.
  • Provide training and database support to DOs including orientation sessions, consultative services on research resources and policies.
  • Assess unit training needs and develop individualized training plans, including onsite training.
  • Proactively elevate issues, activities, and/or decisions to management as appropriate, and communicate information effectively to others.
  • Adhere to guidelines governed by unit procedures, processes, and manuals.

Expected Salary:

Commensurate with education and experience.



Minimum Requirements:

Master’s degree in an appropriate area of specialization and two years of relevant experience; or a Bachelor’s degree in an appropriate area of specialization and four years of relevant experience.



Preferred Qualifications:

The ideal candidate will possess:

  • At least four years of experience in prospect research and management or fundraising in a higher education setting or medicine/health-related non-profit.
  • Exceptional analytical skills to synthesize a high volume of information from a variety of sources and perform complex analyses to produce reports that are usable and actionable to a variety of fundraising professionals.
  • Must be an outstanding communicator with excellent written and verbal communication skills, interpersonal skills and the ability to work collegially and interact effectively with a diverse constituency.
  • Collaborative, collegial and customer service focused orientation; eager and able to engage a diverse stakeholder base and build strong professional relationships.
  • Demonstrated success in program development and execution.
  • Exceptional listening and judgment skills.
  • Strong consultative approach with ability to advise and influence internal clients through formal and informal presentations.

  • Strong project management and time management skills befitting a fast-paced environment; ability to handle multiple projects with critical deadlines and changing priorities simultaneously and accurately.
  • Understand institutional mission and strategic initiatives.
  • Knowledge of ethical and best practices of profession.
  • Knowledge of the Health Insurance Portability and Accountability Act (HIPAA).
  • Strong familiarity with standard research resources and information such as Donor Search, LinkedIn, Lexis Nexis, iWave, FoundationSearch, SEC filings and wealth screenings.
  • High level of knowledge of software applications for analysis and project delivery.
  • Proficient with Advance (or comparable alumni/donor database) and thorough understanding of the reports produced by and for prospect management purposes.
  • Experience with PLSQL and Microsoft Office Suites: Word, Power Point, Excel, Access, OneNote. Specific Excel knowledge in advanced filtering and sorting, Pivot Tables and formulas.
  • An appreciation for and support of diversity in the workplace in all its forms; proven success working with stakeholders; excellent strategic planning and project management skills; experience in a data-driven environment; organizational skills; and the ability to lead, influence and motivate others are required.
  • The ability and willingness to travel. A valid driver license and good driving record are essential.
