POSITION: Assistant Director, Graduate & Online Admissions

DEPARTMENT: Graduate & Online Admissions

REPORTS TO: Director, Graduate and Online Admissions Office

REQUIREMENTS: Bachelor’s degree, Master’s preferred, with a minimum of 1-3 years related experience; experience in admissions, adult education, employee development/training, and/or career counseling/ academic advising adult students preferred; proficient verbal and writing skills; and ability to work flexible schedule, including occasional evenings and Saturdays. Proficient computer skills, including database management, Salesforce, and Microsoft Office products, will be required.

PRIMARY FUNCTION: Responsible to the Director of the Graduate and Online Admissions Office for the admission of students into online programs and for the recruitment and admission of students into on-campus graduate and doctoral programs


SPECIAL POSITION REQUIREMENTS:

  • Must have home computer with reliable internet access suitable for remote work when required
  • Work occasional evenings/weekends
  • Standard background check (Federal, State, Local criminal checks; academic verification)
  • Must have a valid PA driver’s license
  • Must have a personal car for University travel requirements
  • Maintain security of student application information.
  • Must be familiar with and put into use current FERPA personal information regulations

DUTIES:

  • Work cooperatively with all administrative and academic departments to ensure the efficient enrollment of adult students in online, graduate, and doctoral programs. Establish and maintain strong working relationships with program directors within assigned recruitment goals.
  • Advise new students through the admissions process, providing detailed information on programs, financial aid, registration, and student account procedures to ensure enrollment.
  • Work with outside vendors responsible for recruitment of online students to assure a smooth admission and registration process for that population.
  • Plan and participate in Graduate and Online Admissions Office open houses and other internal events to recruit students, including virtual events
  • Maintain calendar and spreadsheet of external student recruitment events (graduate school fairs, corporate site visits, etc.). Serve as initial point of contact for external event planners. Represent the university at these programs and assist with scheduling other staff to attend events as needed.
  • Participate in telemarketing activities and following up on inquiries and leads to ensure applications are received and prospective students are admitted.
  • Meet departmental goals regarding the conversion of leads, completed applications and enrolled students.
  • Review, evaluate and process online and graduate admissions actions from the inquiry stage through matriculation; i.e. maintain student databases, ensure that all appropriate materials are sent to applicants, maintain application files, conduct appointments/interviews, and handle all phone, mail, text, and email correspondence with prospective students. Thoroughly document the process and student interactions electronically as needed.
  • Serve as liaison to the Student Financial Services Office, maintaining marketing materials aimed at financial aid for graduate students and troubleshooting problems that arise between our two offices
  • Assign appropriate duties to support staff and workstudy students to aid in the enrollment process.
  • Serve as backup to the Director as needed, including representing the office in meetings with other University stakeholders.
  • Assist with training of new staff in programs, office processes, and University procedures. Participate in ongoing training and development activities as appropriate.
  • Participate in professional organizations as appropriate.
  • Comply with Point Park University regulations as defined in the Employee Handbook and the procedures as defined in the Graduate and Online Admissions Office.
  • Perform other related duties as assigned.
