The Arts Office is seeking a program manager to join the Arts Office team. In this role, they will help achieve the mission to highlight the arts offerings of the College and wider Waterville community and foster artistic collaboration across disciplines that deepen and broaden discussions within and outside of our classrooms.

Reporting directly to the director of the arts, the Arts Office seeks a highly organized program manager who will manage all communication, significant collaborations, programmatic details, and website content within the Arts Office. The program manager will serve as the primary liaison to students, artists and partner organizations while connecting with the arts and cultural community on and off campus. In addition, the manager will provide oversight of signature events and major arts initiatives (ie. programming, festivals, events, lectures, workshops, incubator spaces, and performances). The program manager will also work closely with academic arts departments, centers and institutes, Colby College Museum, students, and The Office of Civic Engagement.

As an arts destination, Colby College and the Waterville community have been at the forefront of presenting innovative and critically acclaimed programs and events. With several arts studios, theaters and varying performing arts spaces in development – the Arts Office will oversee dynamic programming within and outside of the campus. The manager position will include asset mapping and maintaining detailed inventory, master calendar, oversite and evaluation of arts activity within these developing spaces including but not limited to the Arts Collaborative, Schupf Center, and Gordon Center for the Creative and Performing Arts.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Manage the Arts Office programs and operations as a whole, including, but not limited to, day-to-day administrative and operational functions and purchasing; Workday processes, project budgets and deadlines; agendas, calendars, and schedules; procurement and contracting; budget, grant management, and reporting; archiving processes, artist booking, and licensing
  • Coordinate and manage programming and events schedules in concert with the College and community partners and run the Arts Office special events and public programs, including weekend and evening events
  • Collaborate with the Arts Office staff and community partners on project management to see the Arts Office initiatives through to completion
  • Manage the Arts Office communication and digital platforms, including website and social media channels, working as needed with the Office of Communications and other areas to coordinate and update content and maintain functionality
  • Supervise and coordinate student arts associate team schedule for the Gordon Center of Greene Block + Studios
  • Coordinate annual budget requests in consultation with the director, and manage and track all budgets for the Arts Office
  • Develop, implement, and maintain best practices for managing the Arts Office projects and programs, tracking their efficacy and revising systems and processes as needed
  • Serve as the primary liaison and contact for artists and partner organizations while connecting with the arts and cultural community on and off campus
  • Design and curate events with director, production managers, and related staff
  • Provide oversight for signature events and initiatives (ie. downtown programming, festivals, events, lectures, workshops, makerspaces, and performances)
  • Develop the highest quality and most innovative public free events in Waterville that are broadly reflective of the goals of the Arts Office
  • Deliver event content in a timely manner that is dynamic; conduct ongoing research of best practices in the field in order to source future programming
  • Cultivate and foster partnerships with key collaborators, curate artist lineups
  • Oversee Arts Office details including budget, Workday, agendas, archiving processes, artist booking, and licensing
  • Work with the Waterville partner organizations and Colby College staff to enhance all Arts Office endeavors as needed
  • Perform additional duties as assigned; duties, responsibilities, and activities may change at any time with or without notice

QUALIFICATIONS:

  • Bachelor’s degree or the equivalent in education and experience
  • Minimum of 3 years of programming/community partnership/curation experience across a variety of disciplines including but not limited to diverse styles of music, dance, and visual arts
  • Ability to be an adaptive learner, pushing beyond established areas of expertise in order to seek new and diverse content
  • Exceptional understanding of project management
  • Ability to work independently and think critically about how to continuously improve our organizational impact through better processes, structures, and relationships
  • Experience working with public programming and events, with experience in scholarly or community-based initiatives preferred
  • Strong media skills including web authoring and editing
  • Demonstrated ability to multitask in a fast-paced working environment
  • Talent for successful event planning
  • Excellent written and oral communication skills
  • Exceptional interpersonal, organizational, and human relations skills
  • Ability and willingness to work with a diverse, highly academic community
  • Meticulous record keeping and budgeting skills are required
  • A passion for community and civic engagement work; mission driven
  • Valid driver’s license required and must meet the College’s Fleet Safety Policy requirements

KEY RELATIONSHIPS:
The program manager will work with the Director of the Arts Office to serve as the primary liaison for artists, partner organizations, and key stakeholders in the arts ecosystem while connecting with community on and off campus. The program manager will also work closely with local community, academic arts departments and institutes, Colby College Museum, students, and the Office of Civic Engagement.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:
General open office and campus environment. Position involves sitting, although frequent movement is necessary. Computer usage involving repetitive hand/wrist motion is also necessary. Some evenings and weekends required.
CONDITIONS OF EMPLOYMENT:
Successful and satisfactory completion of a background check (including a criminal records check). All students, faculty, and staff who are present on campus must be vaccinated and boostered against COVID-19, unless granted an exemption or accommodation by the College.
