Accounts Payable/Accounts Receivable Specialist is directly responsible for maintaining accurate records for all Accounts Receivable (Including collections,) and Accounts Payable, enter those items for corporate accounting functions under direct supervision of the Executive Director. Also responsible for backup of Receptionist functions: giving tours and gathering personal information from inquiries, answering telephones, taking/delivering messages and responding to Executive Director’s directions.

Essential Duties and Responsibilities

  • Maintains accurate records for all Accounts Receivable (including Collections), Accounts Payable, Payroll, and Petty Cash.
  • Maintains all resident files for updated contracts and all other required documents for their financial and legal file.
  • Processes documents for corporate accounting under direct supervision of Executive Director.
  • Maintains security of business office files and accounting support documents.
  • Notifies Executive Director of any questions or irregularities in accounting materials.
  • Answers the telephone in a polite and courteous manner. Forwards calls, takes messages and delivers those messages to appropriate personnel.
  • Completes direct inquiry sheets on prospects.
  • Monitors Community guests’ & visitors’ entrances/exits in accordance to Community policy and procedure.
  • Maintains security of equipment in the business office.
  • Performs other tasks as assigned by any member of management.

Minimum Qualifications and Skills

  • Ability to read, write and speak English fluently.
  • Ability to speak clearly on the telephone and maintain pleasant presence and tone of voice while interacting with visitors, residents or staff.
  • Ability to type 40-45 WPM and operate computer system with knowledge in word processing and spreadsheet software.
  • Maintains acceptable attendance record; notifies supervisor if late or unable to work, is able to work flexible hours to meet the requirement of the job.
  • Requires minimal supervision. Is a self-starter.
  • Is accurate, dependable, neat and thorough in assigned tasks.
  • Organizes and utilizes time appropriately; sets priorities to accomplish assigned tasks.
  • Displays mature behavior and attitude in speech and action; demonstrates consistently pleasant demeanor, tone of voice, supports the philosophy and approach to care used by the community.
  • Keeps resident information confidential; respects resident rights; respects privacy and right to self-determination of residents.
  • Interacts in a professional manner with the public, residents and staff; works cooperatively with administration and displays willingness to assist co-workers
  • Abides by established policies and procedures of Community. Looks for ways to improve.
  • Community functioning; keeps Community information confidential.
  • Keeps work area neat and clean; helps maintain the appearance of Community.
  • Ability and willingness to learn quickly.
  • Must have knowledge and understanding of state regulations.

Job Type: Full-Time

Salary: $18.00 - $20.00 per hour
