Summary

Coordinates air exports and domestic perishable shipments ensuring that service commitments are achieved and maintained in accordance with client requirements and efficiency goals are reached based on company objectives.

Essential Duties and Responsibilities

  • Arranges exports and domestics shipments of cargo with carriers, vendors, trucking companies, warehouse packing facilities, and/or other applicable parties.
  • Make booking with airlines as customer request with the best routing and lowest cost.
  • Prepare all documents for the shipment such as AWB, Packing list, commercial invoice, phyto certificate, etc.
  • Keep customer informed of shipment status (loading instructions, schedule, pre-alerts, departure, etc)
  • Invoice customer for the shipment as rates agreed. Protect all costs and make sure profit is right per shipment.
  • Ensures clients, Warehouse team, partners or other required parties are kept fully informed of transport arrangements and status on a regular basis.
  • Receives transport orders.
  • Communicates as required with applicable parties to ensure service requirements are achieved.
  • Serves as liaison with sales personnel to ensure quality services are achieved & maintained.
  • Negotiates most favorable buying rates with approved vendors.
  • Maintains professional phone manner internally and externally.
  • Processes, issues, distributes, and/or dispatches all required documentation to all applicable parties in a time frame consistent with service needs & company policy.
  • Issues shipping instructions to HPL-Apollo partners where necessary.
  • Receives rate requests.
  • Prepares and issues rate quotations externally and internally as required.
  • Keeps clients informed and maintains knowledge of market trends and changes in service options.
  • Assist accounts receivables and collection of payables when required.
  • Checks clients’ credit status prior to arranging transport.
  • Approves timely and accurately vendor invoices.
  • Ensures maximum file profitability via control of vendor costs and maximum net sales.
  • Ensures timely invoicing of files within department as per company guidelines.
  • Performs other duties as assigned.

Supervisory Responsibilities

This position supervises up to five full time employees and may supervise temporary employees from time to time based on projects.

Education and/or Experience

  • Bachelor's degree (B. A.) from four-year college or university.
  • Previous experience in a management position, handling a wide variety of commodities.
  • Minimum 5 years in the industry with proven satisfactory track record, operational and/or sales experience.
  • Completion of any industry related course is an asset.

Language Skills

  • Ability to read, analyze, and interpret the most complex documents.
  • Ability to respond effectively to the most sensitive inquiries or complaints from customers, regulatory agencies, or overseas agents.
  • Ability to effectively present information and respond to questions from groups of top managers, staff and customers.

Mathematical Skills

  • Ability to calculate figures and amounts such as freight rates, discounts, interest, commissions, proportions, and percentages.
  • Ability to apply concepts of basic accounting.

Reasoning Ability

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Proficient in Microsoft outlook, Microsoft office and Internet.

While performing the duties of this job, the employee is:

  • Frequently required to stand, and walk.
  • Regularly required to sit, use hands to finger, handle, or feel, and talk or hear.
  • Occasionally required to reach with hand and arms.
