Position Summary:**
Ensure the appropriate and timely admission of clients into the residential treatment program meeting or exceeding budgeted census projections; supervise the provision of services to clients in keeping with the academy’s mission and goals.
Primary responsibilities:

  • Develop and implement a referral development plan that incorporates developing long-term relationships with referral agents through personal contact, and electronic communications (telephone and computer), that ensures a steady flow of appropriate clients into the academy.
  • Build and maintain relationships with referral sources through regular contact with existing referral sources as well as potential referral sources.
  • Facilitate on-site visits for referral and placing agencies and provide off-site placement interviews as deemed necessary.
  • Meet with referral sources when on campus to keep an ongoing pulse on customer satisfaction and service-related issues. Serve as a troubleshooter when needed to assure customer satisfaction with academy services.
  • Manage the admissions process for the academy.
  • Confer with clinical/admissions team regarding status of current clients and future vacancies.
  • Schedule and participate in interviews of prospective clients to assess amenability to treatment, suitability of placement and probability of success.
  • Make recommendations for resident admission or rejection with clinical staff and/or admissions team.
  • Communicate with referral agents to facilitate and coordinate entry of clients into programs by acquiring necessary documents and appropriate signatures, and by coordinating admission dates.
  • Coordinate admission process with resident and family/guardian on intake day.
  • Ensure completion of resident admissions forms.
  • Develop and maintain an up-to-date agency contact list, attend workshops, conferences, and conventions to promote the agencies services, and ensure appropriate supplies of accurate promotional and informational materials are maintained at all times for the purpose of promoting the agency. Work with the Home Office Communications Manager when updated materials are needed.
  • Supervise and ensure that services are delivered in a professional, consistent, and therapeutically appropriate manner.
  • Ensure that appropriate plans and appropriate documentation are in place for all clients prior to discharge.
  • Supervise the identification and establishment of placements and education resources for all academy clients.
  • Monitor the timing of discharge to ensure that the census is kept at an effective level.
  • Establish and monitor plans to assess appropriate levels of service delivery and to gauge referral agent satisfaction with services.
  • Supervise and support the ongoing selection, evaluation, and development of admissions staff.
  • Participate in the recruitment and selection of admissions staff.
  • Actively coach assigned staff and conduct appropriate evaluations in a timely manner; support, provide and encourage ongoing training to ensure individual staff members’ competency.
  • Assist in the development of performance and productivity standards for assigned staff.
  • Contribute articles, announcements and accompanying photographs to the Communications Department for SharePoint and other various Nexus publications.
  • Attend training, both internally and through external sources, to remain up to date on assessment/interview techniques and clinical standards of practice and remain compliant with all licensing requirements.
  • Ensure fiscally responsible management of academy assets by authorizing all departmental expenditures per company/academy policy; participate in the annual establishment of the Admissions portion of the Administration Department’s budget as required or requested.
  • Attend staff meetings and required training sessions. Understand and support the Nexus philosophy and treatment modalities.
  • Ensure the confidentiality of all resident background and treatment issues in compliance with all company, COA and HIPAA regulations

Required Education and Licensure:

  • Bachelor’s degree in Human Services field required, Master’s preferred.
  • Minimum of 4 years’ experience working within a residential treatment environment with at least 2 years’ experience in admissions required.
  • Must demonstrate significant skills in the operation of Microsoft business software programs and database management systems.
  • Valid driver’s license required.
  • Minimum 1-year supervisory experience preferred

Physical Demands:

  • Must be able to sit at a desk and operation office equipment (computer, phone) for extended periods of time.
  • Must be able to twist, bend and stretch in a manner conducive to the execution of daily activities within a residential treatment facility.
  • Must be able to travel up to 40% of the time to referral sources, interviews, etc.
