Position Summary

Provide clerical support and be responsible for general Admissions & Records duties including assisting students with the admission processes, maintenance of permanent student records, and processing of applications and forms.

Salary: Appropriate placement on salary schedule E3, grade 05 : $32,966 - $48,728

Work Hours: Monday through Thursday, 7:45 a.m. - 5:15 p.m.; Friday 7:45 a.m. - 11:45 a.m.

Essential Duties and Responsibilities

  • Greet visitors, answer the telephone, respond to email, and provide admissions and records assistance to students, faculty, staff, and the general public.
  • Maintain a working knowledge of college information and all admissions and records related processes.
  • Process records requests including but not limited to issuing out-going transcripts, enrollment verification forms, admissions applications and withdrawals.
  • Perform equivalencies related to placement into college-level English and math, from coursework completed by high school students and record in Banner.
  • Assist with scanning admissions and records documents into BDMS.
  • Communicate departmental requirements, policies, and procedures relevant to students throughout all stages of the enrollment cycle from initial application for admission through graduation.
  • Maintain a confidential working environment with respect to student records in accordance to FERPA guidelines.
  • Load ACT and SAT scores.
  • Perform all duties with professionalism.
  • Alert supervisor of any issues requiring the attention and direction of upper management.
  • Assist with other enrollment functions housed in the Office of Admissions & Records as assigned.
  • Perform other related duties as assigned.

Qualifications

  • A minimum of a high school diploma or equivalent and ten (10) semester hours (15 quarter hours) of postsecondary education in clerical or related field from an accredited institution is required OR high school diploma or equivalent and two (2) years clerical work experience is required.
  • Experience providing excellent customer service is required.
  • Ability to utilize Excel or other database software to sort and manage lists is required.
  • Ability to utilize Word or other word processing tools to prepare and communicate information is required.

Preference will be given to candidates who can demonstrate through their experiences and accomplishments

  • Knowledge of community college policies and procedures.
  • Knowledge of Banner or a related program.
  • Knowledge of rules of grammar.
  • Knowledge of generally accepted office practices and procedures, including records management.
  • Knowledge of e-script.
  • Knowledge of FERPA.
  • Skill in operating a mouse to control a computer.
  • Skill in operating a computer.
  • Skill in utilizing a multi-line phone system.
  • Skill in operating a fax machine, copier, scanner, label maker.
  • Ability to follow instructions and adhere to prescribed routines.

  • Ability to make decisions based on correspondence, data or other information.
