Position Summary Information

Summary
Reporting to the Vice President for Operations while also working closely with the Chief of Staff, the administrative specialist provides administrative management of the operations for the offices, supports and assists the President in all aspects of the office, coordinates the overall operations and efficiency of the President’s office with general guidance from the Chief of Staff and will assist with process improvement initiatives across the University. This position will also provide high level administrative support to the Vice President for Operations and Finance. Additionally, this position will interface with all levels of the organization and is the primary point of contact between the office, the University community and external constituents.

Pay Grade: 8
Starting Salary Range:$46,300 – $55,000

Principal Functional Responsibilities
1) Manage all aspects of the President and Vice President’s daily calendars, appointments and speaking engagements to include reviewing and assessing the urgency/priority of all requests for appointments, meetings and/or special invitations to attend various activities or events. Oversee travel schedules and resolve scheduling conflicts.
2) Collaborate with the University Advancement office to maximize the President’s fundraising efforts which include participating in event/meeting planning as assigned, administering guestlists, menu selection, invitations and other event-related communications. Strategically utilize the president’s calendar in relation to community events and opportunities.
3) Organizes and maintains a system of external and internal relations for the President and Vice President. This includes overseeing the preparation of correspondence; ensuring constituents have received appropriate correspondence before and after meetings with the President and/or Vice President; transcribing and editing all correspondence requiring signatures; and maintaining a historical file of contact with constituents.
4) Manage operational objectives as assigned demonstrating a high level of initiative as well as the ability to think ahead and act in a proactive manner. Coordinate and implement the process for reporting and documentation of information related to projects/functions including but not limited to the President’s Diversity and Equity Advisory Council, the President’s Report to the Board of Trustees, etc.
5) Identifies and recommends improvements within the office. Identifies the key areas for improving standards and incorporates new techniques to enhance the existing operating standards.
6) Display a high level of initiative with an instinctive ability to think ahead and act in a proactive manner with regard to projects and daily tasks.
7) Participate on institutional committees and work with project teams in correlation to University initiatives.
8) Perform other duties as assigned.

Qualifications
Education : Bachelor’s Degree or some college education and equivalent experience.
Experience: Five years of office/coordination management experience required. Excellent analytical, good written and oral communication skills, project management skills. Ability to facilitate cross functional groups. Higher education experience preferred.

Physical Requirements
Must be able to utilize a phone, computer and screen and other office equipment. While performing the duties of the job, the employee is frequently required to sit; talk; or hear and occasionally stand, walk, reach, stoop, or kneel. Must be able to occasionally lift up to 25 pounds.
