Classification Title:

This position serves in a multi-faceted role to complement the overall management of the Department of Wildlife Ecology and Conservation. One key area of responsibility includes direct administrative support to the office of the Chair – Wildlife Ecology and Conservation. This position will often serve as the first point of contact for the Chair’s office and will interface with WEC faculty, staff, students, and visitors; external offices within IFAS and other UF units; and with other agencies such as other universities, federal and state agencies, and non-governmental organizations.

A second area of responsibility, under the direction of the department chair and in collaboration with the Administrative Services Manager, includes providing academic support to the WEC graduate program. This position serves as the primary graduate student services liaison to facilitate student services cradle to grave, from admissions to graduation. This position does not oversee fiscal or human resources on-boarding; these services are coordinated with the Administrative Services Manager.

Additional responsibilities include serving as primary event coordinator and general office oversight for supply orders, equipment reservations and service calls, as well as coordinating joint room reservations with staff from the School of Forest Resources and Conservation (SFRC).

Administrative Services - Office of the Chair: Responsibilities include general clerical support such as preparation of correspondence, overseeing calendar and travel arrangements, coordinate meetings; attend monthly faculty meetings and prepare minutes; coordinate annual faculty evaluations and semester assignment reports (FAR); assist Chair with annual tenure and promotion; and maintain publications in EndNote for annual publications reporting.

Academic Services - Graduate Programs: Responsibilities include providing timely and relevant student services support to the WEC graduate education program, to include overseeing graduate admissions; partnering with the Chair, Graduate Coordinator and/or IT staff to maintain graduate website information, student bulletin boards and faculty, staff & student personnel posters, provide information or redirect interested applicants to relevant faculty programs; and assist with course registration, registration issues, and process Grad School petitions.

Events Coordination: Responsibilities include coordinating several departmental events, to include planning of the annual WEC Awards BBQ (~100 participants), Fall and Spring seminar series speakers, student life events, guest speakers, candidate schedules, and other events at both on- and off-campus facilities to support department faculty, staff, students, visitors, and/or stakeholders.

General Support: Responsibilities include daily mail distribution, supply orders, departmental parking decals, meeting room reservations – joint activity coordinated between WEC and SFRC; maintain WEC calendars for equipment reservations and room reservations; assist with updates to the faculty and staff travel/leave calendar; assist Facilities Manager as needed with work orders, vehicle reservations, and key allocations and with building security as needed (locking/unlocking) of Newins-Ziegler Hall (WEC side). Other responsibilities as needed and not outlined.



Expected Salary:

$21.50 - $23.50 per hour commensurate with education and training



Minimum Requirements:

Bachelor's degree; or an equivalent combination of education and relevant experience.

Preference will be given to:

  • candidates with documented Peoplesoft experience
  • candidates exhibiting/possessing attention to detail with strong communication and critical thinking skills
  • bilingual English/Spanish
