  • Our Manufacturing Client in Hayward, CA is seeking an Administrative Specialist to work at their Chemical Plant.

Summary of job:

  • Provides general administrative support to Hayward Site.
  • Exercises discretion and independent judgement in managing flow of work.
  • Requires full proficiency gained through job-related training and on-the-job experience to perform a range of tasks under limited supervision.
  • Detailed-oriented. Collaboration and commitment are key for this position.
  • Must be proficient in using Word and Excel.

What's a typical day as an Administrative Specialist? You will:

  • Provide a wide variety of professional administrative support under limited direction to leaders, colleagues, or groups in the organization.

  • Review and maintain documents and records in accordance with company guidelines.

Specific job duties include:

  • Maintaining Library Documents
  • Check twice monthly for CTT tasks due and input dates on excel spreadsheet to easily identify when document should be received.
  • Collect documents from production and ODMS coordinator's box every morning.
  • Review documents for completeness. If not complete, contact the document inspector on record to correct errors.
  • Check documents to confirm that print date and document completion date meet 48hr requirement.
  • If document is missing, track down document by reaching out to whoever closed the task.
  • If inspection checklist reflects a failure, create an "In Progress Inspection Form” for filing and refer document to EHS or Maintenance
  • Input completed documents' date and "In Progress” information on Excel spreadsheet.
  • File all completed CTT entered documents by the 1st week of following month.
  • Communicate every month to leadership regarding missing documents by crew.
  • Maintain documents in binders/tubs per identified retention.

Prepare Records Center documents.

  • As needed, provide office with labels appropriate for records center storage
  • Maintain and update an archive document location list in WebEDMS
  • Records Retention – Destroy items outside of retention in Warehouse Cage
  • Ship items to Corporate annually
  • Order official labels for admin file boxes.

Create and Maintain Physical Library

  • Create covers, spines and indexes for binders using appropriate section colors.
  • Audit and destroy documents which are outside of retention date.
  • Order supplies to maintain Library.

Procedure Formatting

  • Send notifications regarding procedures needing to be reviewed by owners - at minimum once a month.
  • Compare reviewed procedures and updates against approved procedure template
  • Reformat procedures if out of alignment or is missing required information.
  • Work with procedure owner to make corrections if the information needed is outside the scope of responsibility.

Job Type: Contract

Salary: $23.00 - $23.01 per hour
