Description


The Administrative Secretary provides high level secretarial and administrative assistance to the department and performs a full range of varied, complex, sensitive, highly responsible, and confidential office and support function. The Administrative Secretary exercises judgment and initiative, relieves department leaders of technical, as well as general administrative details. This role serves as a liaison with other departments and staff, outside agencies and the general public. This position works directly with other staff members to ensure materials and communications are well organized, accurate and timely. Within established procedures, the incumbent exercises independent judgment, professionalism and discretion in such responsibilities as screening calls, prioritizing mail, maintaining and controlling confidential files and records, producing and distributing routine and special reports with accuracy.

  • Performs secretarial duties including typing correspondence, reports, and memoranda from the Medical Directors and Nursing Manager/and Directors.Receives and screens calls and correspondence directed to the Medical Directors and Nursing Manager/Directors.
  • Answers and screens telephone calls; responds to routine telephone inquiries and ensures the accurate recording of information for the Medical Directors and Nursing Managers/Directors
  • Possesses the ability to communicate effectively in written and verbal form using appropriate grammar as well as the ability to transcribe from dictation and compose non-routine correspondence on own initiative.
  • Prepares special and recurring departmental reports by gathering data from various sources, compiling and typing data and completes the revision of special forms and department documents. Provides audio/video capability for meetings.
  • Must be organized and have the ability to schedule appointments and coordinate arrangements for meetings including catering, transportation and other arrangements as needed.
  • Responds to requests for information in a thorough and timely manner
  • Monitors department materials and supplies and orders as needed
  • Maintains a variety of files and logs.

Pay Range: $22.64 - $32.82

Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities. Qualifications


Qualifications:

  • 2+ years secretarial experience.
  • Excellent organizational and communication skills.
  • Bilingual language skills preferred.
  • Typing speed of 35 or greater wpm with accuracy.
  • Competent in Micro Soft Word 6.0, Excel, Powerpoint, Email and Internet Acess.
