Administrative Coordinator of Rehab Services and Wellness, Full-Time
For over 35 years, North Hill, a not-for-profit senior living community located in Needham, Massachusetts, has provided vibrant living opportunities to people 65+ by offering a host of hospitality, wellness and health care services. The Administrative Coordinator of North Hill Rehabilitative Services and Wellness oversees the daily activity and functioning of the North Hill Rehabilitative Services and Wellness. This position requires excellence in customer service and diplomacy. Administrative support includes triaging telephone calls and messages, (including email and voicemail) and issues from residents, physicians, pharmacies, employees and other professionals, forwarding messages and adjusting employee daily visit schedules, maintaining office files and patient files, computer and software system support, department correspondence and general administrative functions.
HOURS: 30 hours/week
JOB SPECIFIC DUTIES:
  • Customer Service- Maintains rapport with customers, managers, and team members through ongoing contact, setting priorities and resolving problem situations.
  • Triages telephone calls related to home health and resident services including those from Residents/patients, family members/responsible parties, physicians, caregivers, vendor, members of the interdisciplinary team and North Hill team members.
  • Completes administrative projects as requested by Home Health Administrator.
  • Tracks and orders medical and office supplies as directed by the Home Health Administrator and tracks equipment available for lending.
  • Maintains all department forms electronically, and updates forms as needed.
  • Supports with staff day to day scheduling as needed
  • Completes end of month billing for North Hill Rehabilitative Services and Wellness.
  • Processes documents that require a physician signature and date, and reviews for accuracy upon receipt. These documents and include physician orders and plan of care.
  • Coordinates the mailing and faxing of all physician orders for North Hill Restorative Therapy Program including preparing documents, mailing, faxing and receiving incoming orders.
  • Tracks the receipt of documents and other documentation requirements in Electronic Health Record including physician orders, plans of care, and unlocked visit notes.
  • Sends Attestation Letters to physicians as required and tracks receipt.
  • Maintains case records by updating Resident information in AOD software data base and individual Resident Services files, including the hard copy files kept for certified home health patients that are required in addition to the electronic medical record documentation.
  • Coordinates and maintains the changing and updated Resident list, updated disability list for emergency purposes, and the hospital board and hospital updates.
  • Maintains supply inventory for the department, medical and office
  • Follow all Emergency Management Plan, including the Emergency Dining Plan and Life Safety policies and procedures and actively participate in fire and evacuation drills
  • Covers as back-up for the Administrative Coordinator for the Home Health Department
REQUIRED EDUCATION AND EXPERIENCE:
  • High School Diploma or equivalent.
  • Medical assistant experience preferred
  • Ability to read, write and understand English
  • Proficient in Microsoft Office
