Nemours is seeking a Administrative Coordinator for our Behavior and Development administration in Wilmington, DE.

This is a grant funded role.

Primary Functions:

The Administrative Coordinator will provide administrative support to further the clinical, educational, trainee and research missions of Behavioral Health, Developmental Medicine, and Swank Autism Center and all associated programs. This individual will proactively coordinate projects and programs for Behavioral Health, Developmental Medicine, and Swank Autism Center assuring effective and timely completion by performing research, organizing data, creating agenda and determining key steps in project planning to ensure success.

Essential Functions:

  • Additional miscellaneous duties and responsibilities, as may be assigned from time to time by employee's supervisor.
  • Provide daily administrative support to members of the leadership team, including, but not limited to, coordination and oversight of calendars to ensure accurate schedule of appointments, including administrative and patient care activities at all service sites. Assist in the coordination and support of enterprise/department/divisional projects and initiatives.
  • Manage professional and trainee recruitment processes, including scheduling interviews, travel arrangements, creation of itineraries, and providing general support to internal and external candidates.
  • Onboard and Offboard attendings and trainees. Work with medical staff office to ensure licensing needs are met and collaborate with the GME office to ensure Nemours trainee standards are being followed.
  • Coordinate internal and external meetings and events (send meeting invites, agendas, booking rooms, catering, equipment and external guests). Attend departmental meetings, preparing agendas and transcribing/distributing minutes as assigned.
  • Supports and provides the analytics for department's Service Excellence Program. Responsible for running patent satisfaction reports as needed.
  • Proactively identify operational problems and opportunities related to the clinical and academic missions of the Department/Division. Collaborate with the appropriate individuals to develop goals, implement processes and facilitate change.
  • Maintain divisional records including files and electronic communications, database, spreadsheets, etc. Distribute information and reports as directed. Organizes and maintains confidential information
  • Promptly and courteously handle communication to/from internal and external customers. Take accurate messages, triage calls appropriately and document all calls.
  • Create, edit and distribute correspondence, reports, minutes, presentations, newsletter, curriculum vitae, journal articles and contact lists.
  • Materials management. Process equipment and supply needs. Track equipment and supplies to assist in budgeting.
  • Process reimbursement and payment requests and maintain records.
  • Participate in Continuous Improvement and DEI activities.

Requirements:

High School diploma

3-5 years of job related experience

Monday - Friday 8:30 - 5:00pm
