This vacancy is located in the Medical Records department of LDH/OAAS/Villa Feliciana Medical Complex in Jackson, Louisiana. This position may be filled by a probation or promotion of a permanent state employee.

As part of a Career Progression Group, vacancy may be filled from this recruitment as a Administrative Coordinator 1 or 2 or 3 depending on the level of experience of the selected applicant(s).

The salary can be higher depending on experience.

MINIMUM QUALIFICATIONS:
No experience or training is required.

Function of Work:
To perform a variety of clerical duties that are routine in nature in support of the staff members and/or operations of an organizational unit or program.

Employees usually follow detailed instructions or procedures. Very limited, if any, discretion is required in the performance of these duties.

Entry.

General from higher-level clerical and/or supervisory personnel.

Supervision Exercised:
None.

Location of Work:
May be used by all state agencies.

Job Distinctions:
Differs from Administrative Coordinator 2 by the absence of experienced-level duties that require some independent judgment to perform.


Examples of Work

50% Assembles new admit (patient/resident) charts. Maintains forms, labels, etc. Reviews patient/resident daily census for completeness/accuracy; maintains active patient/resident medical records; strips active and discharged patient/resident medical records; documents and files patient/resident data into records from Nursing Services information sheets.
Files pertinent data into the patient/resident record, audits records for accuracy and completeness.
Enters patients/residents weights and vital signs on assigned unit into the LTC program. Documents residents’ weights in their charts. Maintains health information documents regarding, but not limited to, identifiable resources for residents. Copies and prepares medical charts upon request from attorneys, hospitals, and outside medical offices.
Gathers, prepares and provides all necessary information to outside agencies for medical appointment for patients/residents on assigned unit.

Provides updated medical documents to update data in the Long Term Care system.

30% independently performs a variety of clerical duties including but not limited to: patient/resident labels for all forms in all patient/resident charts on assigned unit, transmitting internal and outgoing correspondence such as Dr.’s orders and reorders to GPS Pharmacy, maintaining various patient/resident lists for Nursing Staff, Dietary, Social Services, etc., as required. Operates and maintains office equipment; e.g. computers, copiers, and fax machines. Posts physician, maintenance, and transportation on-call schedules in prominent place. Posts trip list, memos, menus and other important information as required.
Prepares materials which involves some knowledge of medical terms. Prepares, copies, distributes, and maintains various medical forms monthly; monitors and maintains all clerical supplies as needed.

15% responds to various requests from physicians, nurses, administration and/or other treatment staff. Responds to incoming telephone calls and routes them accordingly. Sorts and distributes inter-hospital mail and make ward rounds every day. Contacts internal departments for nurses and physicians.
Prepares, copies and maintains all forms for employees on unit such as leave slips, call-in slips, etc.

5% Performs other related duties in order to maintain the smooth operation of the facility as needed.
