Description:

GENERAL SUMMARY AND PURPOSE:

The Lab Services Department seeks an Administrative Assistant to provide administrative support for four Pathologists, three PA's, two Histology clerks, three Histotechnologists and three Cytotechnologists, including phone coverage. Proofread all dictated report content, formatting and charge codes (Surgical, Non-Gyn Cytology, Hematopathology, Autopsy). Liaison between outside clinics and Courier for on-demand pickups of specimens.

Preparation of all slides, documents and QA materials for three weekly conferences (Breast Care, GI Tumor Board, and Regional Tumor Board). Compiling, packaging, documentation and billing of every case sent for outside expert consultation, outside reference lab testing, or cases requested by outside facilities.

SKILLS, KNOWLEDGE, EDUCATION AND EXPERIENCE:

High school diploma or equivalent required.

2 years of relevant experience required, preferably in a healthcare setting.

Medical terminology required.

ESSENTIAL FUNCTIONS:

Knows, understands, incorporates, and demonstrates the Organization's Mission, Vision, and Values in behaviors, practices, and decisions. Composes, types and transcribes correspondence, forms, reports, presentation materials and other written communications as required. Receives and screens visitors and telephone calls and handles general inquiries. Schedules / coordinates meetings, conferences, special events, appointments and travel arrangements. Maintains assigned calendar(s). Establishes and maintains filing systems. Orders and stocks supplies.

Assists with special projects and interdepartmental needs when appropriate. Experience with process improvement or lean philosophy preferred. Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision. Must be able to work in a stressful environment and take appropriate action. Excellent verbal and written communication skills required. Requires demonstrated proficiency in multi-tasking, flexibility, time management, organization, attention to detail and professionalism. Must be able to work equally well independently and in a team environment. Requires intermediate computer skills with an emphasis on Microsoft Office applications.
