Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
  • Demonstrated experience in the use of Microsoft Office; including Word, Excel, PowerPoint and Outlook.
  • Experience providing advanced administrative support
  • Experience conducting outreach, planning events, and working with multiple units/stakeholders/programs
  • Ability to work under pressure, work without supervision, handle multi-task projects and complete work within established deadlines.
  • Ability to write effectively and to prepare documents, spreadsheets, and written correspondence.
  • A strong attention to detail and accuracy.
  • Ability to prioritize workload, manage multiple projects at once, and meet established deadlines.
  • Ability to oversee multiple program and grant budgets and to produce budget reports.
  • Skills in basic math and bookkeeping/accounting.
  • Experience working in a collaborative office setting.

Preferred Qualifications
  • Bachelor’s degree or some college-level coursework.
  • At least three years of experience as an administrative assistant.
  • Experience working in a higher education or school setting.
  • Experience working with grants or externally funded programs.

Job Description
Responsible for providing administrative and general clerical support to the Translational Health Research Center and affiliated grant projects. The primary purpose will be to support the center and affiliated grants through administrative and organizational assistance.

Job Duties
  • Perform advanced administrative support duties and be responsible for administrative support of a growing research center with a variety of research/grant programs.
  • Reconcile and monitor program budgets to provide routine budget reports: monitor transactions of operating budget; reconcile the account with ledgers; make budget adjustments; prepare expenditures, salary/fringe and budget reports.
  • Assist with procurement and purchasing create purchase orders and reimbursements; monitor and/or order office supplies.
  • Create personnel change requests and assist with the hiring process of full and part-time individuals.
  • Assist in preparing budget reports and grant-related documentation in line with Texas State University and grant requirements.
  • Prepare documents and reports with superior grammar, punctuation, and detail.
  • Maintain confidentiality with office relations and personnel files.
  • Assist in preparing and organizing various activities and events.
  • Process travel arrangements, applications, and reimbursements using Concur and other platforms.
  • Other duties as assigned.
