Job description
- Process the day-to-day clerical and scheduling duties for the Statewide Vice President, Assistant Vice President, and Vice Provost
- Produce manuals and training documents for student services
- Coordinate annual faculty reviews between campus Associate Vice Presidents, Dean, and Department Head
- Assist Statewide Director of Student Success & Strategic Initiatives in commencement coordination and faculty recognition dinner planning
- Organize, coordinate, and facilitate meetings, events, and other activities
- Assist with arrangements for Statewide retreats, tours, and other departmental events
- Coordinate travel for Statewide leadership team; All-card processing through Service now related to purchases and travel
- Act as a liaison with faculty, staff members, students, and the public, providing information as needed
- Build and maintain meeting and training calendar for Statewide Campus directors of students
- Partner with student services offices to provide regular (annual, semester, as-needed) training/updates to DOS and other directors
- Coordinate with HR to provide information about opportunities for professional development; support new director of students onboarding
- Develop agendas and take minutes for Statewide meetings as necessary
- Maintain general Statewide email address and answer general correspondence
- Manage and maintain vehicle logs, checkout, and service maintenance
- Build and maintain meeting and training calendar for Statewide Campus directors of students
- Partner with student services offices to provide regular (annual, semester, as-needed) training/updates to DOS and other directors
- Coordinate with HR to provide information about opportunities for professional development; support new director of students onboarding
- Assist Director of Student Success & Strategic Initiatives in developing and coordinating timely communication to students
- Participate in Statewide enrollment management and student success initiatives under the direction of Statewide Director of Student Success & Strategic Initiatives
- Communicate with statewide students via text and phone calls to encourage registration
- Coordinate mentoring and shadowing for new advisor onboarding, under direction of Statewide Director of Advising
- Outreach to students who qualify for re-enrollment campaigns; work directly with Completion Coordinator
- Contact admits about orientation support/questions
- Run, sort, and upload students into texting platform (Signal Vine) for student success campaigns
- Run reports using Argos, Civitas, and Achieve for directors' team
- Pull data on initiatives and be able to present to statewide leadership teams
- Contact statewide earned admissions students to provide student support
- Schedule centralized weekly posts in MyUSU campus groups
- Four years of experience; or vocational/technical training/associate degree in an office or business field plus two years of related experience; or a bachelor’s degree in a related field is required.

- Proficient in MS Office suite (Word, Excel, Outlook, and PowerPoint).
- Experience creating. composing, and editing written and electronic material with attention to detail.
- Willingness to undertake any necessary training needed to perform job functions or to enhance job performance.
