We’re currently seeking an Administrative Assistant who will perform a range of functions in support of Marketing Service team’s day to day operations. This includes a variety of administrative tasks such as overall administrative support to area management and staff, receiving magazine samples, processing invoices and working with vendors and accounting department to ensure invoices are paid. This role also will compile miscellaneous reports, handle email insertion orders as needed, and receive and organize signed insertion orders. Additionally, ordering office supplies, sorting and distributing incoming mail and daily filing of marketing materials and data entry are also some of the responsibilities of this role.


How you will contribute:

  • Provide overall administrative support to Marketing Services
  • Flag enterprise advertisements and competitive ads
  • Request missing items
  • Communicate with vendors and accounting regarding payment status, receiving/filing signed Ios, creating and sending reports as needed
  • Manage team’s internal mail distribution, ordering of office supplies, and reserving conference rooms
  • Process invoices
  • Provide administrative support to Product Design as needed


What you will bring and skills that excite us:

  • High school diploma
  • 2-4 years administrative or office support experience, preferably in marketing or advertising setting
  • Must be very detail oriented and well organized
  • Basic computer skills – Word, Excel, PowerPoint
  • Must be able to handle high volume data entry
  • Ability to multi-task
  • Self-starter, energetic and can work independently
  • Strong verbal and written communication skills
  • Strong math skills
  • Professional demeanor and highly dependable
