Reports to: Sequim Services Supervisor

Pay Range: DOE/DOQ

Hours per Week: 40 hours

Work Days: Monday to Friday 8-5

JOB PURPOSE: To provide administrative oversight of the Sequim Services location of Peninsula Behavioral Health. To support a culture of high level customer service, participate in the development of processes to increase efficiency and ensure seamless operations of the office.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Oversee and manage all administrative duties in the office to ensure efficient operations of site.
  • Manage office supplies inventory and place orders as necessary.
  • Act as the liaison between the Sequim Office and departments based out of the main branch including maintenance, IT, the medical department and finance.
  • Perform receptionist duties: greet visitors, schedule appointment, answer and direct phone calls.
  • Ensure the safety and security of protected health information
  • Receive and sort incoming mail and deliveries, and manage outgoing mail.
  • Identify opportunities for improved design and systems.
  • Provide other administrative support as necessary including maintaining the Sequim office schedule of a variety of staff who utilizes office space to provide services.
  • Maintains familiarity with and handles client information in accordance with Federal Regulations (42 CFR, Part 2), the Revised Code of Washington (RCW 71.05.390 and RCW 71.24), and other applicable laws pertaining to confidentiality of client and staff information.

SECONDARY DUTIES AND RESPONSIBILITIES:

  • Maintains physical security of confidential materials and assigned Agency property.
  • Demonstrates flexibility in adapting to changing work demands.
  • Attends Performance Improvement Meetings on a regular scheduled basis.

PERFORMANCE EXPECTATIONS:

  • Model consistent attendance, professional boundaries, and collaborate problem solving to promote client success.
  • May cover for staff during scheduled absences, examples include but are not limited to: sitting at the front desk checking patients in for appointments, calling clients, and/or answering phone calls from clients and/or the public, etc.
  • Effectively manages staff by inspiring teamwork, promoting professionalism, and providing accountability.
  • Coordinates and prioritizes work assignments so that tasks are completed on time and in a quality manner.
  • Demonstrates flexibility to meet demands from various sources, including contractual, client, and intra-agency obligations.
  • Maintains cordial and professional relationships with staff, clients, families, and community referral sources.

REQUIRED EDUCATION, LICENSE(S), CERTIFICATION, AND EXPERIENCE:

Required Education: High School Diploma or GED

Preferred Education: Bachelor's Degree in Business Administration, Communications or a related field

Experience:

  • Minimum two years' experience working in behavioral healthcare setting
  • Experience process mapping, workflow development, or other quality/performance improvement methodologies.
  • Experience with electronic health records, excel and other standard office software programs.

Licensure: Must be eligible to obtain Washington State Agency Affiliated Counselor credential (with agency assistance)

Additional requirements:

  • Must be able to pass a pre-employment drug test and background check
  • Must be able to provide vaccination records for HepB, MMR, Tdap and recent flu shot

NATURE AND SCOPE:

Physical Demands:

  • Moderate physical effort (lift/carry up to 10 lbs.)
  • Standing/walking in an office setting.
  • Occasionally lifts supplies and equipment.

Cognitive Skills:

  • Advanced verbal and written communication skills.
  • Must be able to use basic Office software.

Working Environment:

  • May be exposed to infections and contagious diseases
  • Occasionally Exposed to patients exhibiting assaultive behaviors
  • Works in a clean, well-lighted, ventilated office and provides supervision to access screening staff.

Working Demands:

  • Frequent pressure due to schedule demands.
  • Contact with clients and community partners under a wide variety of circumstances.
  • Subject to varying and unpredictable situations.
  • Handles emergency or crisis situations.

  • Ensuring compliance with standards for documentation and delivery of services.
  • Working with a wide variety of client with serious, persistent mental illness.
