Administrative Assistant

PURPOSE:
To provide weekly administrative support for youth and children’s ministries. The position works twenty-five (25) hours per week alongside of the Director of Family Ministries, Youth and Children’s Ministries program staff.

QUALIFICATIONS:

  • Minimum one (1) year administrative assistant experience or equivalent.
  • A self-starter who works amicably in conjunction with parent volunteers, volunteer staff and the greater church staff.
  • An ability to organize information, multi-task, and manage the high demands of ministry.
  • Knowledge and experience using computers (i.e. Microsoft Windows, Microsoft Office Suite, Web-Based Database Applications, Church Management Software and Adobe Creative Suite).

RESPONSIBILITIES:

  • To assist in planning, organizing, and preparing for weekly Jr. High and High School Youth Ministry programming by providing dinner and snacks; utilizing parent volunteers on a scheduled rotation throughout the school year.
  • To manage Forest Home Summer & Winter Camp Contracts, collecting medical release forms, deposits and final payments from campers to be promptly submitted to Forest Home.
  • Maintain an accurate database of student household contact information (i.e., telephone, e-mail, and birthdays).
  • Coordinate with Military Outreach Ministries (M.O.M.) directing the Thanksgiving Food Box drive by collecting donations from GMPC members and local businesses and delivering the completed boxes to M.O.M.
  • Oversee all Compassion International correspondence, monitoring monthly Sunday School tithe and submitting sponsorship checks to be mailed to Compassion International.
  • Complete administrative tasks associated with youth and children’s ministries (i.e., sort mail, create monthly newsletter and weekly announcements, replenish youth ministry resources).
  • Coordinate and research details for special events (i.e. rock climbing, laser tag, family fun center).
  • Prepare and address monthly birthday cards to be signed by program leadership then mailed.
  • Order books, curriculum, videos, posters as directed while maintaining a Video and Book Inventory.
  • Prepare and send monthly, weekly and daily e-mail announcements for all Children and Youth Ministry email lists using MailChimp. Mail correspondence letters as needed for special events and programming updates.
  • Assist Business Administrator by managing the front desk in their absence, creating and mailing duplicate copies of worship services to members of the congregation, and replenishing office and church supplies as needed.

Pay: $17.00 - $20.00 per hour
