Minimum Qualifications

High school diploma or GED; associate's degree in business, office administration or a related field preferred; five years of experience in increasingly responsible administrative support work; or an equivalent combination of training and experience.

Considerable knowledge of standard office practices, procedures, and equipment; of business English, spelling, punctuation, and grammar; of principles and procedures of records management. Ability to perform a full range of varied and responsible office administrative, secretarial, and routine programmatic support functions in support of assigned programs, division, and/or department with only occasional instruction or assistance; to interpret, apply and explain administrative and departmental policies; to exercise good judgment in making routine decisions in accordance with departmental policies and procedures; to perform arithmetic calculations; to communicate effectively orally and in writing; to operate a personal computer and related software and other standard office equipment; to develop and maintain effective working relationships with internal and external customers. Pre-employment drug testing, FBI criminal background check, and education/degree verification required.

Duties
Under general supervision, performs work of routine difficulty in paraprofessional administrative or technical duties in support of a department or assigned program(s).

The Administrative Assistant also....
  • Provides general and specialized information and assistance regarding assigned function and/or department programs and services that may require the use of judgment, tact, and sensitivity and the interpretation of policies and procedures.
  • Drafts, formats, edits, revises, and processes a variety of complex documents and forms including reports, correspondence, memoranda, agenda items, agreements, and technical and statistical charts and tables.
  • Provides technical and administrative support in planning, developing, and implementing department programs, policies and procedures.
  • Assists in assembling and preparing the annual budget for assigned area; monitors expenditures against budget; prepares purchase requisitions and requests for payment.
  • Coordinates and arranges meetings and special events as assigned; schedules event, makes arrangements, and sets up meeting rooms.
  • Performs the duties of office HR Liaison.
  • Assists in implementing and/or executing administrative operations and/or programs of the department or an organizational unit within the department.
  • Customer Service.
  • Provides direct and confidential administrative, clerical, or secretarial support to a Department Director or other management staff as required. Perform other work as required.
