About the Role:


The ideal candidate for this position will revolve around assisting peers and greeting clients. They must have great customer service with ability to prioritize work according.


It is expected that the ideal candidate will carry out administrative duties that may vary and often include tasks such as scheduling appointments, answering phones, greeting visitors, and maintaining organized file systems for the organization.


WHO YOU ARE:

Must be Bilingual – English and Spanish

At least 1 year of experience of administrative experience and customer service. Proficient with Microsoft Office Suite and related software, google Suite products. Proven experience in the following areas:


  • Greet new clients in the office and process consultations in the case system
  • Prepare client correspondence
  • Answer and return client phone calls
  • Schedule client appointments
  • Communicate with clients
  • Organize clients supporting documents in files/e-files
  • Maintain and Prepare Client files/e-files
  • Process payments
  • Order office supplies
  • Prepare and mail monthly client letters
  • Prepare and mail thank you letters to consultations
  • Process and mail existing client's sign-up gifts
  • Communicate with clients
  • Close files and send closing letters
  • Other job duties as assigned

Data driven, excellent verbal and written communicator with all levels of personnel and customers outside the organization. Acts with integrity, professionalism, and confidentiality. Detailed oriented required to handle large volumes of work simultaneously. Essential skills include:

  • Bilingual – Speak, Read and Write in English and Spanish ** is a must**
  • An excellent verbal and written communicator
  • Organized and detail oriented
  • Strongly analytical with excellent problem-solving skills.
  • Pays close attention to detail and accuracy
