Duties: Administrative Assistants positions are available in various offices across campus. More information on the specific departments will be discussed further in the process. Administrative Assistants ensure the efficient operation of an office by performing a wide range of administrative tasks related to correspondence, files, and calendar management; work coordination; customer service; fielding of questions; information gathering; and compilation of reports.

Routine duties include but are not limited to:
  • Answers telephone and gives information to callers, takes messages, and transfers
calls to appropriate individuals.
  • Greets visitors or callers and handles their inquiries; or directs them to the
appropriate persons.
  • Opens, reads, routes, and distributes incoming mail or other materials and answers
routine letters.
  • Sets up and manages paper and electronic filing systems.

Qualifications: Candidates must meet one of the following criteria:

  • A current SUNY New Paltz employee reachable via his/her score on the Administrative Assistant Trainee 1 promotional list.
  • Must be reachable for appointment on the current NY State Civil Service canvass list for an Administrative Assistant Trainee 1.

*Administrative Assistant Trainee 1 Transfer Eligibility Requirement:* Candidates must have one year of permanent competitive service in a title SG-06 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law.
*Administrative Assistant Trainee 2 Transfer Eligibility Requirement:* Candidates must have one year of permanent competitive service in a title SG-08 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND completion of all mandatory core coursework.*
*Administrative Assistant 1 Transfer Eligibility Requirement:* Candidates must have one year of permanent competitive in a title SG-09 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND completion of all mandatory and elective core coursework.

*Keyboarding requirement:* Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills as demonstrated by passing the Keyboarding Performance Test.
