Salary Position: Accounts Receivable Specialist

Full time 8am to 5pm - Monday thru Friday

Introduction to the role:

Accounts Receivable Specialist in a busy Community Association Management Office. We have a fun, team-focused office with a lot of personality. The ideal candidate thrives working in a small tight-knit and supportive team, handling high volume of transactions, phone calls, and has the ability to be flexible as things change. The best candidate for this position will have ambition to learn as much as possible and grow into the office manager role. No two days are the same so someone with the ability to pivot, and someone who enjoys a variety of tasks, would fit well in this role.

What You’ll Do:

The Accounts Receivable Specialist is responsible for assisting the Office Manager with the many aspects of the front office, this includes building customer relationships. This candidate ensures that customers are assisted in accordance with Company Policy.

Reports to:

Office Manager

Essential Duties and Responsibilities:

  • Ensures that all customers are handled with professionalism and kindness
  • Complete sale/lease applications accurately and efficiently
  • Ensures voicemails are checked, and returned promptly
  • Accounts Receivable
  • Collections on owner accounts
  • Liaison for collections attorneys
  • Organizes incoming mail
  • Researches owner files for leases, parking, sales, etc
  • Accurate Filing of documents
  • Assists with owner questions, and document requests in a timely manner
  • Update owner contact information in Quickbooks
  • Check owner balances in Quickbooks and run statements
  • Assists in all functions of the front office
  • Assist with other departmental functions, mail outs, and special projects
  • Ability to take full ownership of responsibilities and manage priorities in a fast-paced, team environment

  • Strong interpersonal skills and a demonstrated ability to work collaboratively across all departments
  • This position is not limited to the above duties and responsibilities
  • Minimum Qualifications:

Education and Experience:

  • High School Diploma or Equivalent
  • Minimum 1 year Quickbooks experience
  • Community Association Management experience, knowledge or related industry a must
  • Proficient in MS Office, including Word, Excel and Outlook required
  • Familiar with copy, print, scan features

Necessary Knowledge, Skills, and Abilities:

  • Works effectively in a team environment
  • Strong written and verbal communication skills
  • Able to handle multiple tasks with frequent interruptions
  • Strong Organizational skills and attention to detail with a high level of accuracy
  • This position requires long periods of sitting at a desk and repetitively using a keyboard and phone for extended periods of time

Driving/Travel Requirements:

  • On occasion may need to attend an Association Annual meeting, travel to the meeting (all meetings are located within Lee County, FL) may be required a couple times a year

  • Work computer, including Microsoft Office (Excel, Word, PDF)
  • Multi phone line
  • Printer, copier, scanner
  • Postage machine

Physical Demands:

  • The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus
  • This job requires 90 % working in front of a computer
  • Full-time, punctual, attendance is required as an essential function of this position
  • Occasional overtime during busy season (November through April)

Job Type: Full-time

Pay: From $45,000.00 per year
