The Accounts Payable (AP) Specialist is responsible for managing and processing AP transactions. This includes but not limited to processing invoice disbursements, reconciling accounts, responding to vendor inquiries and maintain related files in compliance with organization policies and procedures as well as with GAAP.

Responsibilities

• Perform day to day financial transactions, including verifying, classifying, and recording accounts payable data
• Process outgoing payments in compliance with financial policies and procedures
• Verify and investigate discrepancies, if any, by reconciling vendor accounts and monthly vendor statements
• Facilitate payment of invoices due by sending bill reminders and contacting clients
• Generate reports detailing accounts payables status
• Reconcile accounts payable ledger to ensure that all bills and payments are accounted for and properly posted
• Maintain accounts payable aging schedule to ensure bills being processed timely
• Maintain weekly accounts payable outstanding check list for cash flow forecast
• Prepares the IRS Form 1099 Reports
• Assist in streamlining and improving the accounts payable process
• Organize and maintain files containing all necessary contract documents, vendor agreements and invoices, lease agreements and invoices
• Understand expense accounts and cost centers
• Understands compliance issues around accounts payable processes (W-9, sales tax, etc.)
• Performs other essential duties as assigned

• 1-2 years of proven working experience as Accounts Payable Clerk
• Solid understanding of basic bookkeeping and accounting payable principles
• Strong proficiency in Excel and accounting software; preferably Sage Intact
• BS/BA in Accounting or equivalent years of experience
