Accounts Payable Specialist

Position Summary:

The Accounts Payable Specialist plays an integral role in the accounting and administrative departments by performing the entire accounts payable processing cycle. The Accounts Payable Specialist is responsible for managing a fast paced, high volume environment, while providing internal and external customers professional assistance and support.

Key Responsibilities:

  • Manages all functions of the accounts payable process, using Apprise software and other software programs as required.
  • Responsible for all functions of accounts payable to include Vendor/Supplier set-up and maintenance of W-9’s and 1099 requirements.
  • Serves as point-of-contact for all Vendor inquiries regarding account status, disputed invoices, and payments to ensure positive relationships with new and existing Vendors.
  • Utilizes the 3-way matching payment verification method to process all payables invoices and debit notes.
  • Ensure all bills and payments are paid timely and accurately, while adhering to departmental procedures and policies.
  • Responsible for managing and processing weekly payment selection for checks and ACH payments within allotted budget for the week.
  • Responsible for Customs invoice reconciliation.
  • PCard payables, to include electronic receipt upload and audit of cardholder coding.
  • Updates and maintains contract labor spreadsheets.
  • Performs administrative accounting duties to include compiling reports and related data on a daily basis as needed for special requests and projects.
  • Performs data entry duties, account reconciliations, and maintenance of audit files, including monthly spreadsheet updates.
  • Assists in maintaining a professional office environment to promote image building and efficiency.
  • Other duties and special projects as assigned.

Education:

  • High school graduate with a minimum of 5+ years accounts payable experience.

Experience/Skills:

  • Overall knowledge of general accounting and accounts payable management.
  • Working experience with high-level management and responsible for holding confidential matters.
  • Strong planning and organizational skills with the ability to multi-task.
  • Ability to work independently with minimum supervision, and work collectively with the administrative team.
  • Ability to focus and handle a high volume of tasks and responsibilities within an open office environment.
  • Accuracy in working with large amounts of data.
  • Excellent verbal and written communication skills.
  • Strong computer and internet research skills.
  • Proficient in Microsoft Office (Outlook, Excel, and Word).
