POSITION SUMMARY
Under the supervision of the AP supervisor, is primarily concerned with the processing of bills incurred by the Hospital. Insures that only duly authorized payments are made and that disbursements are made on a timely basis, so that cash is conserved and discounts are taken.
ESSENTIAL JOB FUNCTIONS AND CORE RESPONSIBILITIES
- Advises AP supervisor on status of the accounts payable.
- Coordinates accounts payable function with vendors, purchasing and receiving departments.
- Determines monthly and year-end accrual of un-invoiced liabilities.
- Determines that payments made agree as to quantity, unit cost and other terms of agreement.
- Edit check due dates on accounts payable system.
- Filing of paid invoices.
- Insures all payments are timely. The invoices are PAID ONLY AS DUE and not before. This is to insure good cash flow.
- Insures proper account coding of all invoices.
- Insures that discounts are taken when applicable.
- Insures that federal identification and social security number is entered into the system when applicable for 1099 purpose. Responsible for compiling and printing 1099 forms.
- Insures that sales taxes are accrued when applicable.
- Insures timely and accurate input to automated system.
- Maintains appropriate control over unpaid invoices.
- Maintains proper accounts payable system which matches vendor invoices with receiving through materials management system.
- Periodically reconciles vendor statements
- Posting of General journal entries into GIL automated system.
- Prepares and maintains prepaid schedule.
- Prepares various accounting schedules for General Ledger.
- Responsible for reconciling detail AP to General Ledger account. Responsible for resolving problem invoices and/or purchase orders.
- Responsible for understanding and participating in the organizational-wide quality improvement program through orientation; education; departmental and interdepartmental quality control; quality improvement; and quality planning activities.
- Trains new accounting tech on automated system, policies and procedures.

Work Experience

- Two years of business experience, a year of which should be directly related to the accounts payable function.
- Must be proficient on automated system.

- Experience in health care environment is preferred.

The hourly rate range for this position is $20.86- $27.14.
