Nichirei Sacramento Foods Corporation, is hiring an Accounting Administrative Assistant to join our rapidly expanding team in the West Sacramento area. The successful candidate will provide high-level administrative support by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meeting; This candidate will be results-oriented, have a demonstrated ability to work individually and on a team, and be adaptable as responsibilities change and as the department builds out its strategy and team.

RESPONSIBILITIES

  • AP entry, check preparation and reconciliation for quarterly and annual audits;
  • Create contract files, project codes and payment schedules annually;
  • Vendor management and reconcile monthly credit card receipts;
  • Prepare selected general ledger account reconciliations;
  • Maintain files, including filing of general ledger journal vouchers, cash receipts and accounts payable documentation, and other miscellaneous filings;
  • Ensure compliance with generally accepted accounting principles and companies policies, procedures, internal controls and contracts;
  • Assume responsibility for effectively researching, tracking, and resolving (or properly referring) accounting or documentation problems and discrepancies;
  • Keep management informed of any significant accounting problems or internal control issues in the organization;
  • Complete special projects and miscellaneous assignments as required
  • Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software;
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution;
  • Open, sort and distribute incoming correspondence, including faxes and email;
  • File and retrieve corporate documents, records and reports;
  • Greet visitors and determine whether they should be given access to specific individuals;
  • Prepare responses to correspondence containing routine inquiries;
  • Make travel arrangements for executives;
  • Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors;
  • Attend meeting to record minutes;
  • Answer phone calls and direct calls to appropriate parties or take messages;
  • Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work;
  • Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board and other meetings;
  • Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issue, and housekeeping, to aid executives;
  • Provide clerical support to other departments;
  • Reports any concern to a manager;
  • Processes purchasing requests from employees and place the orders to suppliers;
  • Processes invoices and creates slip sheets;
  • Communicates with supplier/logistic company to confirm shipping schedule for inbound/outbound;
  • Process inbound/outbound documents and notify other employees on the schedule; and
  • Drafting and editing internal and external correspondence, event coordination, and researching special projects.

QUALIFICATIONS

  • Bachelor’s degree in Accounting, Business Administration and, or 3-5 years of relevant experience and proven ability with accounting systems, databases and Microsoft Office programs preferred (Excel, Word, Outlook);
  • 3+ years general admin/project coordination experience;
  • Strong attention to detail, and commitment to consistently providing high-quality deliverables;
  • Excellent organizational, project management, research, problem-solving, and time management skills;
  • Solid computer skills (MS Office);
  • Ability to work on multiple tasks simultaneously with a strict adherence to deadlines;
  • Excellent team collaboration, to work flexibly and interactively within the Impact Investing team;
  • Effective verbal and written communications skills;
  • A positive attitude and willingness to help out as needed;
  • Ability to work in a collaborative team environment, and with all organizational staff; and
  • Ability to multi-task and work independently and make sound decisions and meet deadlines without close supervision.
