The Academic Scheduler I utilizes the College’s designated system to reserve classrooms for meetings and events; supports maintenance of the course catalog and room inventory; and schedules credit and non-credit classes and final exams. The Academic Scheduler I works collaboratively and under the direction of the Academic Scheduler II to ensure timely and accurate system additions or changes to curricula; supports maintenance of an accurate system representation of prerequisites; and supports acquisition of accurate academic information for the College catalog and other publications. The Academic Scheduler I supports the implementation and/or maintenance of all College ERP systems such as DegreeWorks; Banner, Resource 25/25Live, etc.).

Specific Responsibilities
  • Schedule credit and non-credit classes and final exams as directed.

  • Under the direction of the Academic Scheduler II, maintain the course catalog and master schedule. Ensure that faculty room assignments comply with Americans with Disabilities Act (ADA) accommodations approved by the College’s Office of Diversity and Equity.

  • Engage in ongoing systems maintenance and implementation of scheduling optimization tools as directed.

  • Build, cancel and maintain Catalog and Section level courses in an accurate and timely manner consistent with divisional goals and objectives, while meeting competing and fixed deadlines which correspond to the College’s registration cycles.

  • Replicate Section level courses from one semester to the next, while maintaining and ensuring the quality and integrity of all related data.

  • Support the monitoring of enrollment throughout the registration cycle.

  • At the Catalog and Section levels, support maintenance course fee data and course prerequisite and co-requisite requirements using the College-approved system; use third-party reporting tools on an on-going basis to ensure the accuracy of this data.

  • Advise the College community on approval of any new/revised programs or courses as directed.

  • Support the Scheduler II in efforts to ensure the functional and efficient use of instructional space, and assist in the development of reports to aid in the management and oversight of academic space utilization for all campus locations.

  • Support monitoring of the impact of section changes to determine the effects on other modules, including Financial Aid, Records and Registration, Admissions and Faculty Load.

  • Under the direction of the Academic Scheduler II, work to identify issues and recommend improvements in systems and operations that impact students and faculty.

  • Deliver quality customer service to both internal and external constituents in a professional, helpful and courteous manner.

  • Other duties as assigned.


Minimum Qualifications
  • Associate’s degree or equivalent course work required. Any and all degree(s) must be from a regionally accredited institution of higher learning.

  • Demonstrated ability to be highly organized with the ability to effectively prioritize tasks in order to meet deadlines and produce consistently accurate and detailed work required.

  • Excellent administrative and organizational skills required.

  • Computer proficiency utilizing MS Word and Excel required.

  • Experience utilizing an enterprise-wide information system required.

  • Ability to work extended hours, when needed, is required.

  • Demonstrated ability to exercise good judgment in evaluating situations and making assessments for decisions required.

  • Strong attention to detail required.

  • Excellent verbal and written communication skills, ability to work both independently as well as collaboratively required.

  • Ability to maintain sensitivity, understanding and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological, and ethnic backgrounds required.


Preferred Qualifications
  • Bachelor’s degree preferred.

  • Experience in an academic environment with academic course scheduling skills utilizing technical software preferred.

  • Previous experience supporting credit/non-credit educational curricula and programs preferred.

  • Knowledge of class scheduling models and utilization reporting preferred.

  • Banner preferred.

  • Experience using a degree audit system, such as Degree Works, preferred.
