Job description – Admin and Business Management Analyst
The Admin and Business Management Analyst will report into the Head of ECO and support the ECO General Manager.
This position will help ensure that the day-to-day operations including administrative and financials for the Enterprise Change office run efficiently.
Administrative Functions (25%)
  • Manages or otherwise supports scheduling and coordination of meetings and other interactions for Head of ECO and Lead Team meeting coordination.
  • Oversees or manages expense reporting & travel arrangements for Head of ECO individuals and support lead team as needed.
  • Oversees or otherwise develops and manages ECO wide meetings (e.g., Town Halls).
  • Provides support to onboard associates and contractors including ensuring equipment, desk and other requirements as necessary.
  • Efficiently create, maintain and coordinate production of internal meeting materials and presentations to the highest standards. Ensures accuracy of content, use and maintenance of appropriate templates, adherence to brand standards and compliance policies.
Business Management Analyst (75%) – Core Responsibilities
  • Develops and designs reports to assess ECO operations and overall performance (e.g. open position reporting, resource forecasting). Works with senior associates to develop standardized reporting where necessary.
  • Responsible for gathering and providing data (e.g., inception schedule metrics, resource utilization) to more senior professionals who provide leadership with information about the performance of the Enterprise Change Office and the Transformational Change Portfolio.
  • Set Lead Team agenda with General Manager. Prepares / distributes agenda, tracks action items through completion and distributes notes.
  • Set Town Hall agendas with General Manager. Create presentation materials, engage with presenters for additional materials, manages logistics day of Town Hall and follow ups on meeting pulse questions.
  • Oversees, develops, tracks and maintains departmental documentation (e.g., repository of best practices), which may include templates, onboarding materials and other repeatable assets.
  • Supports the implementation of new or existing policies and practices within the ECO.
  • Create internal communication plan for ECO to ensure ECO participants are aware of key deadlines (e.g., financial, corporate / HR processes, training, chat and chews, town halls, volunteer events). Manage Symphony communication channel.
  • Provides routine and ad hoc report / analytic support and educates functional teams on policies and practices for efficiency and issue resolution (e.g., expense policies, travel policies, incident coordination).
  • Supports creation of business continuity plans for ECO, meets with Business Continuity for regular touchpoint and maintains the plan as needed.
  • Manages office/capacity space planning and management. May also be involved in managing or directly supporting office/facility moves

Work Flexibility
This role is eligible for remote work up to two days a week.
