The Administrative Assistant is a 20-hour part-time individual contributor who assists in supporting the work of the Career Services team in the Law School at Vanderbilt University. This position is responsible for performing administrative support duties, general office management, and administering program activities or special projects. The position reports directly to the Assistant Dean, Career Services. The anticipated start date for this position is May 1, 2023.
Vanderbilt Law School's Career Services excels in placing well-trained lawyers in public- and private-sector positions at law firms, government offices and organizations throughout the United States. This department provides avenues for not only for students, but also alumni (indefinite/lifetime support) and external employers. Employers located throughout the United States and abroad advertise positions for experienced attorneys in a list of leads cultivated and managed by career services staff. Career Services focuses on achieving 100% employment for our students who are in high demand for their outstanding legal training, combined with the interpersonal and other important professional skills they develop during law school.
Duties and Responsibilities

Administration & General Office Management - Performing a variety of professional and administrative duties in support of the day to- day operations of a function, program, and/or department.

  • Provides phone coverage for the Office of Career Services for students, alumni, recruiters, and visitors.
  • Provides general office management responsibilities to include: ordering supplies, maintenance of office equipment, equipment recommendations, handling and routing mail, and other office tasks as needed.
  • Career Services Presentations/Events. Setup Anchor Link invites. Setup room and audio needs. Where needed, provide tents with speakers’ names.
  • Assist colleagues during peak and high workload times.

Administer program activities or special projects.

  • Maintain the Diversity Pipeline – heaviest volume in the fall semester.
  • Handle the logistics of all minority job fairs including Southeastern Minority Job Fair (SEMJF), Southeastern Intellectual Property Job Fair (SIPJF), and Loyola Patent Job Fair in the spring semester.
  • Input all job postings, both for students and alumni daily.
  • Assist in maintaining social media platforms – Instagram/LinkedIn
  • Assist with proofing the Recruitment Handbook.
  • Handle Reciprocity request from alumni and other schools.
  • Compile weekly event for addition to newsletter.
  • Organize the Practice Interview Program in December.

Supervisory Relationships
This position does not have supervisory responsibility, the position reports administratively and functionally to the Assistant Dean for Career Services

Qualifications
  • A high school diploma is necessary .
  • A minimum of 1 year of relevant experience is necessary .
  • Experience in a higher education setting or student services environment is preferred .
