Job Description
The primary responsibility of the Veterinary Receptionist is to welcome clients and patients into the hospital and ensure that all the proper paperwork is signed and received upon check-in. The Veterinary Receptionist is responsible for announcing the patient arrivals to each service, accurately checking patients in and out of the hospital’s electronic medical record (EMR), preparing and compiling paper charts, scanning and sending medical records, and receiving payments from clients. The Veterinary Receptionist is the communication bridge between service and client, service and referring veterinarian. This position is the first point of contact for referring clinicians and clients. The Veterinary Receptionist is responsible for helping clients navigate the OSU Veterinary hospital system through triaging calls, scheduling consults (including coordinating pre visit records), coordinating follow up care, managing waitlist, processing invoices, and answering client questions.
Duties:
Reception:
  • Greet patients upon arrival.
  • Check patients in and out for scheduled appointments.
  • Announce patient arrivals to individual services.
  • Ensure all financial paperwork has been completed at check-in.
  • Schedule basics follow up (recheck) appointments during checkout at the request from service or Service Specialist.
  • Process incoming faxes (fax log) throughout the day.
  • Perform opening/closing duties (i.e., preparing coffee, updating hospital census, ensuring safe is securely locked).
  • Call/email clients to remind them of upcoming appointments.
  • Maintain client beverage bar (making coffee, stocking supplies, light cleaning).
Medical Records:
  • Answer Medical Records request line and processing requests for medical records.
  • Prepare and compile paper charts for each scheduled appointment.
  • Process and send patient discharge letters to DVMs & clients.
Payment Processing:
  • Process cash, personal check, and credit card payments.
  • Collect deposits for hospitalized patients.
  • Balance cash drawer and prepare nightly deposits.
Multi-line Phones & Scheduling:
  • Receive incoming calls.
  • Direct calls to the appropriate personnel.
  • Coordinate and schedule patient consultations, patient referrals, patient appointments and procedures.
  • Document detailed messages
Must be able to pass a criminal background check and other pre-employment screening.
