Job Summary:

This position is in-person.

The Transportation and Logistics Specialist will coordinate operations to achieve effective distribution of goods for Octopi. They are responsible for scheduling and monitoring processes to ensure the timely delivery of goods. They will provide logistical support for movement of materials and finished goods by directing dispatching, routing, and tracking of transport vehicles. This role communicates and coordinates with various departments, and clients, to establish smooth operations while maximizing efficiency.

Primary Responsibilities:

  • Schedule freight based on need to receive materials, raw ingredients, tankers, and various items.
  • Arrange freight for all inbound and outgoing loads while getting the best quality rate with reliable carries via dry van, reefer, tanker, or intermodal. Ensure safe transit is provided without damage to the finished product.
  • Communicate with clients and 3PLs for loads that are booked through Octopi or client-booked transportation.
  • Work with purchasing teams to identify and manage priority inbound shipments.
  • Work closely with internal teams to ensure orders go out as efficiently and effectively as possible.
  • Manage freight lanes to maximize efficient shipments, combining shipments when possible.
  • Work with internal teams and clients to organize appointments and shipments to local customers and vendors.
  • Coordinate pickups or returns of dunnage to vendors.
  • Coordinate international shipments.
  • Manage transfers between locations.
  • File claims for non-conforming outbound damaged shipments; communicate to proper channels when filing for claims and/or reimbursement due to damage.
  • Review, dispute, and approve charges based on their invoice from transportation management system (TMS) or outside third-party logistic providers (3PLs).
  • Manage dock appointments including setting dock appointments, editing/rescheduling appointments, and managing multiple sites based on planning and purchasing needs and requirements.
  • Communicate with clients and 3PLs to effectively manage and coordinate the dock schedule for Octopi and customer booked shipments.
  • Hold carriers accountable for dock times and obtain carrier’s dispatch or 3PLs ETAs should drivers miss their appointment.
  • Confirm collection and completion of necessary documentation for all inbound and outbound shipments.
  • Responsible for collecting appropriate outbound shipment documentation, maintain accurate file storage, and communicating to clients as needed.
  • Maintain accurate file management and maintenance. Confirm documentation is accurately stored and shared with appropriate teams.
  • Update and maintain shipment KPIs.
  • Work closely with accounts payable to ensure financial information is updated and correct.
  • Maintain a clean, safe, and organized work environment.
  • Perform other related duties as assigned

Required Skills/Abilities:

  • Well versed in supply chain management practices.

Education and Experience:

  • 2-4 years of experience in a logistics and transportation management position.
  • Warehouse experience.
  • Bachelor’s degree preferred, of equivalent work experience.

Job Type: Full-time

Pay: $55,000.00 - $70,000.00 per year
