The Resource Exchange

Position Title: Temporary Coordinator Assistant (TCA)

Department: Case Management

Reports to: Service Coordinator Supervisor

FLSA: Non-exempt

Supervisor responsibilities: N/A

Starting Range: $18.00 18.35 hourly

General Description:

It is the core responsibility of the Temporary Coordinator Assistant to assist the Service Coordinator team in providing supports and services with the persons we serve within a dynamic and highly regulated environment through administrative support functions. The TCA must remain agile in their approach while being responsive to the needs of the people we service and maintain an understanding of TREs Mission.

Essential Duties/Responsibilities:

  • Provide excellent customer service through professional interactions and representation of TRE while following HIPAA and confidentiality policies with prompt responses to email and phone calls, engaging supervisors when needed for difficult situations, having a positive and encouraging attitude about the work of the organization.
  • Exhibit strong written and interpersonal communication skills to promote clarity of intent with all levels of communication daily.
  • Coordinate meetings and meeting arrangements as needed with clients to include scheduling and facilitation.
  • Complete HCBS Waivers, Monitoring, Incident Reporting/Critical Incidents/Mandatory, Rights Modifications Cultural Competency Training.
  • Complete Quarterly Contacts, to include speaking to the Person in Services (PRS).
  • Review service plans with PRS and ensure each service plan is being delivered to the satisfaction of the PRS as authorized.
  • Document revisions and document on the 100.2 (complete unscheduled reviews).
  • If referrals are needed, document what they are needed for, agencies preferred, etc. and alert the SC of this need. A provider list can be sent to the individual.
  • Adapt to a changing work environment due to last minute changes in state and federal rules and regulations that affect TREs policies and procedures to best support the people served by TRE..
  • Assume other duties as assigned to promote the health and wellbeing of the people served by TRE and to promote the health and wellbeing of the organization as needed.

Job Qualifications:

Knowledge, Skills and Abilities: TRE advocates for and promotes person-centered case management. The Temporary Coordinator Assistant must learn and adhere to current best practices in person-centered thinking.

  • Completes tasks using computer-based technology. Temporary Coordinator Assistants must possess a strong understanding of how to quickly and accurately use and manipulate cell phone, various lap tops Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, SharePoint, OneDrive, etc.), , NitroPro (PDF), and can use or learn to use additional plugins for these products.
  • Must be able to type accurately with proper punctuation, grammar, spelling, and letter and report composition.
  • Has an inclination for frequently identifying details while processing data.
  • Must have a friendly disposition, positive attitude, and show an assuredness with each professional interaction.
  • Possesses empathy for people with long-term care support needs.
  • Ability to proactively negotiate difficult situations with tact and diplomacy.
  • Uses problem solving and critical thinking skills.
  • Possesses a strong aptitude for organization.
  • Independently organizes multiple daily tasks and activities to ensure strict deadlines are met while prioritizing emergencies as they arise.
  • Exhibits cultural awareness and understands the impact of biases in the workplace.

Education and Experience Requirements:

Minimum: Bachelors degree in a human behavioral science or related field of study. If an individual does not meet the educational requirement, considerations may be made if the individual has experience working with long-term services and supports (LTSS) population, in a private or public agency, or has a combination of LTSS experience and education, demonstrating a strong emphasis in a human behavioral science field.

Preferred: Working knowledge of Medicaid Waiver programs and requirements; experience working with persons with disabilities. Knowledge of and experience working with community resources and resource development.

Material and Equipment Directly Used:

Computers/tablets, Printers, Copy Machines, Personal Vehicle, Cell phones/telephone, Cloud based systems and software, etc.

Working Environment and Physical Activities Office, community, private residences, commercial properties, and virtual environment settings. Moderate physical activity required, such as walking, sitting, standing, and lifting up to 20 pounds (ADA accommodations at the request of the employee). A working vehicle, valid CO drivers license, (unless active Military family) is required, and auto insurance coverage with bodily injury and property damage liability coverage ($100,000/$300,000/$100,000 coverage recommended) are required.
