Job description

The objective of the Surgical Scheduler role is to help support the surgical scheduling department by creating an effortless patient experience by providing a team-based approach to patient care and an exceptional patient experience. Surgical Scheduler will emphasize highly personalized care and help patients surpass barriers to healthcare by improving the patient/provider relationship.
Duties and Responsibilities include but are not limited to:
1. Welcomes patients by greeting them, in person or on the telephone; answering or referring inquires
2. Scheduling of all surgical cases for all physicians at the appropriate facility
3. Ensure that correct surgical equipment is ordered
4. Coordinates scheduling of all pre-admission testing, lab work, and diagnostic imaging as applicable
5. Obtain medical clearance from PCP and specialists as indicated
6. Confirm that faxed cases are scheduled with the correct facility
7. Maintains and updates surgical schedule on a daily basis
8. Communicates all changes to the appropriate departments and staff
9. Confirm accurate completion of H&P and consent for each patient
10. Confirm and order cases the day prior to surgical day
11. Prints and distributes daily schedule to physicians, including any necessary patient paperwork
12. Remain accountable and follow through on all commitments made to patients
13. Assist physicians with billing submission
14. Communicate effectively with patients, clinical staff and physicians
Surgical Authorizations:
1. Responsible for reviewing for accuracy of information requested and received regarding precertification and/or prior authorization numbers received, as well as supporting documents.
2. Responsible for uploading into EHR software system, authorization numbers, time spans/number of procedures, etc. and supporting documentation upon verification that procedures are authorized as requested.
3. Responsible for monitoring and tracking of authorization requests and expiring authorizations.
4. Obtain prior authorizations as needed for preoperative imaging studies
5. Utilize eligibility/registration software
6. Sending clinical documentation as needed to insurance companies
7. Responsible for the use of and, documentation in, EHR software system as the official medical record, following appropriate guidelines for documenting.
8. Update facility of patient authorization status and confirm receipt of authorization
9. Set up peer-to-peer as needed
10. Send appeals as needed
11. Communicate effectively with clinical staff and facilities on authorization statuses
Surgical Benefits Coordinator:
1. Provides patients with overview of medical benefits as per their policy, out of pocket costs, potential financial responsibilities, and explains options regarding prompt payment policy
2. Provides patient with out of pocket costs and financial responsibilities regarding surgical deductibles/co-insurance and collects surgical deductible/co-insurance.
3. Determines estimated patient financial responsibility using insurance verification information
4. Verifies that all required referrals have obtained prior to any service.
5. Accurately documents all information related to patient’s demographics, coinsurance, copay, deductibles, and authorization requirements
6. Knowledge of eligibility/registration software: utilize for one time payments and deposit scheduling.
7. Remain accountable and follow through on all commitments made to patients
8. Communicates effectively with staff and patients
Additional Responsibilities:
1. Compliance with HIPAA and OSHA regulations
2. Responsible for contributing to department development
3. Other duties may be assigned as necessary

Position Type and Expected Hours of Work:
This is a full-time, Monday through Friday position. Shifts will be assigned in advance but may vary depend on a Company Schedule. The hours will typically range from 7:30 am to 5:00 pm.
