Job Summary

The Administrative Support Coordinator will maintain organization of the front office and lobby while greeting visitors, initiate Adobe Sign e-form requests for CSM students, advisors, and faculty, oversee and interpret Adobe Sign process updates for the college and disseminate said updates to academic advisors, department chairs or undergraduate coordinators, and the associate dean for student success, welfare, diversity and inclusion. Along with providing administrative support and coordination for the front desk, the Administrative Support Coordinator will coordinate travel and conference arrangements for advisors in Concur and coordinate scheduling of CSM Student Services events by verifying availability and reserve rooms/outdoor spaces and issuing parking permits to guest speakers as needed. The person in this position will work closely with the academic advisors, student affairs analyst and associate dean for student success, welfare and issues of diversity and inclusion to provide advising support for students on academic probation or in disqualification status, place and release service indicator department holds, take minutes at weekly CSM Student Services staff meetings, and provide referrals to other college or campus offices (e.g., dean of students, health and counseling services) as needed.

This is a full-time 12-month temporary position and is eligible for full benefits, including medical, dental, vision and CalPERS retirement.

Department Summary

CSM Student Services supports and advises roughly 3,000 students, affiliated with seven departments, spanning 11 different Bachelor of Science degrees. CSM Student Services also provides advising and resource support for all students at the University who are preparing for a career in a health profession.

Demonstrated ability to provide excellent customer service, to students, faculty, staff and the public, demonstrating diplomacy and professionalism.
Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the college and University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
Demonstrated ability to effectively compile and maintain records, prepare reports and summaries, write and present reports in a clear and concise manner.
Demonstrated ability to maintain a high degree of confidentiality. Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
Excellent organizational and time management skills, strong attention to detail, and the ability to independently handle multiple tasks and priorities and successfully meet deadlines for day-to-day and long-range activities in a busy environment with constant interruptions.
Education and Experience

High school diploma or its equivalent. Type 45 wpm. Four (4) years of general office support or technical experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience.)

Salary and Benefits:
Anticipated Hiring Range: $42,064-$51,360 annually

Classification Range: $42,060 - $66,096 annually
