Student Services Office Manager - District Administration Building


This is a 12 month position.


Overview of the Position:

The West Linn-Wilsonville School District is seeking a professional to manage the Student Services Office. This position is under the supervision of the Student Services Director. It will lead and promote educational equity based on the principle that each student receives what is required for them to achieve success with regard to allocation of resources, opportunity, treatment and access. This position will provide support to the Student Services Director to meet the operational needs of the department, such as coordinating and participating in staffing and allocation, supervising and evaluating student services clerical staff. Additionally, this position will provide training to licensed staff on special education compliance and regulations.


Responsibilities Include:

  • Attend Student Services meetings, prepare meeting minutes and update and maintain associated documents;
  • Supervise and direct the work of the Student Services office staff;
  • Ensure all OARs in the area of Special Education compliance, including IEPs, evaluations, and timeliness;
  • Enter and update key information in the Student Services information system;
  • Oversee public complaint processes for Student Services;
  • Research data and information from various sources and programs.
  • Train, support, problem solve, and analyze systems as they relate to department level staff
  • Train Student Services staff on key areas of compliance and regulation
  • Manage Student Services systems and processes
  • Participate in Student Services management team decision making process
  • Coordinate and assist with recruitment and hiring processes for student services
  • Coordinate the scheduling of meetings and appointments
  • Collaborate and work with outside agencies including but not limited to: Teacher Standard and Practices Commission, Oregon Department of Education, Colleges and Universities, public safety agencies and community organizations
  • Supporting staffing functions which may include enrollment projections, allocations, staffing assignments and change in status
  • Assist with Student Services family and community engagement meetings, as needed.
  • Organize and manage Student Services support staff meetings
  • Respond to inquiries and requests for information
  • Correctly interpret and apply out of district contracts
  • Manage Student Services budget
  • Gathers, prepares and submits data to ODE for required annual reports
  • Hire, train, supervise and evaluate Student Services Office Staff
  • May lead professional development for key Student Services staff
  • Prepare documents and correspondence
  • Create and maintain organizational systems


Qualifications:

  • Knowledge and experience with special education laws, policies, and regulations.
  • High school diploma or its equivalent
  • Proficient in oral and written communication skills in English
  • Proficient in use of computer and internet based applications, including but not limited to email and system applications
  • Experience in K-12 Public Schools
  • Administrative assistant experience


Desired Quali?cations:

  • Bilingual in Spanish
