Job Summary
Position is responsible for taking all requests for the borrowing or loaning of supplies, equipment and instruments within our hospitals as well as those facilities outside that are approved participants. If an item is not available within NGHS, the coordinator will use appropriate resources to obtain the item. Individual will complete tasks relative to the borrow loan process, including, but not limited to, physical check in and check out documentation process for borrow/loan receiving, vendor and courier pick-ups, preparation and packaging for sterilization. Checks all incoming instrument trays for completeness, according to count sheet provided by vendor or in conjunction with vendor.
Minimum Job Qualifications
  • Licensure or other certifications: SPD certified
  • Educational Requirements: High School Diploma
  • Minimum Experience: Three (3) years' experience in Surgical Services environment.
  • Other: High school diploma or equivalent

  • Preferred Licensure or other certifications:
  • Preferred Educational Requirements: Associate Degree
  • Preferred Experience: Experience in inventory control, distribution, and medical material operational procedures. Other health care or material management (i.e., inventory control, warehouse/distribution management) experience a plus.

Essential Tasks and Responsibilities
  • Facilitates all required outside resources for daily and upcoming surgical case volume. Interacts with appropriate entities to ensure delivery, use, charge and return of said resources. Facilitates the sharing and saving of resources in all NGHS surgery facilities of infrequently used, possibly expensive consumables to best ensure cost containment. Establishes and maintains quality working relationships with department leadership, physicians and their office staff, co-workers and vendors. Checks surgical schedule regularly to ensure timely delivery of all required resources for surgical services. Contacts physician offices to obtain supply information for specific procedures. Calls sales representatives to obtain instrumentation/implants necessary. Notifies SPD of incoming instrumentation and number of trays to be expected for specific cases. Responsible for notifying all appropriate staff that an item has been borrowed so that no conflicts in scheduling occur. Responsible for communication with OR Managers on any issues or concerns related to supplies of any kind.
  • Anticipates needs at each facility and makes decisions in conjunction with Surgical Services leadership staff regarding items for Surgical cases. Ensures vendor trays arrive in advance of procedure, allowing adequate time for inventory and sterilization. Ensures that all requests for payments obtain proper authorization and are entered into Lawson in a timely fashion for issue of purchase order. Responsible for the timely replenishment of implant trays – owned or consigned. Establishes and maintains acceptable par levels of implant inventory. Responsible for checking and following up on all borrowed items to ensure that they have been returned and that they are returned in the condition in which they were borrowed. Responsible for following the guidelines as they apply to each facility for obtaining and transporting items. Responsible for learning the inventory of NGHS as it pertains to instruments, equipment, and supplies. This may include the duty of inventorying the above listed items at all sites.
  • Maintains all data/documentation logs reflecting all incoming/outgoing resource traffic including the Loan Sharing Agreement, transportation arrangements, and billing or replacement. May assist with accurate logs pertaining to implanted procedures. (i.e., sterilization protocols). Maintains hard copy record completed by vendor for documentation, audit, and invoice discrepancies. Keeps chronological history of loan shared items to/from various facilities.
  • Strives for continued personal professional growth of others within departments. Meets all Sterile Processing Tech I&II position and performance evaluation requirements. Participates in departmental process improvement initiatives and quality improvement overall. Provides training and instruction to new staff members. Keeps existing staff apprised of policy changes affecting the way in which their jobs are performed.
  • Other duties as assigned. May be required to take STAT request to sister facility. Prepares loan items log for afternoon/evening shift STAT requests only. Transport of instrumentation to and from surgery, maintenance of security for the Vendor/Rep room, arrangements for loan items requested, updates communication board, and verification of loaner tray contents.
