Overview:
Location: Divisional Headquarters
Status: Non-exempt, Full-time
Hours Per Week: 35
Schedule: Mon-Fri; 8:00 am – 3:00 pm

Scope & Purpose of Position: Assume responsibility for recording and maintaining all Southern New England Division statistics. Analyze statistics to recognize trends and areas that need attention. Perform diverse administrative duties in support of the Divisional Program Secretary, Divisional Secretary for Business Administration, and the Human Resources Director.

Responsibilities:
  • Serve as a positive and professional representative of the Divisional Team and of The Salvation Army at large.
  • Serve as a role model for all employees by displaying a passion for the mission and by adhering to the rules, regulations, procedures, and policies of The Salvation Army.
  • Respond to concerns by following The Salvation Army’s Conflict Resolution Policy; seek advice from the supervisor if needed.
  • Perform clerical and administrative functions as directed by supervisors.

Divisional Program Ministries Department:

  • Collect statistical data and enter it in a timely manner. Seek assistance from the supervisor should data not be submitted on time by Corps or Program Departments.
  • Review data information when received for accuracy and contact Corps Officers/Department Heads to confirm data as needed.
  • Transmit statistical information to Territorial Headquarters in a timely manner.
  • Distribute departmental stat reports monthly to Corps Officers/Department Heads.
  • Provide training to Corps Officers/Department Heads and other appropriate personnel regarding proper statistics input, including correctly inputting data into the Corps Management Database System.
  • Compile and maintain fiscal year, calendar year, and holiday statistical reports.
  • Provide statistics needed for grants and donor proposals when requested by the supervisor or Divisional Commander.
  • Compare monthly statistics to identify trends and report changes to the supervisor.
  • Assist with scheduling Corps Service Reviews and entering data for the Annual Command Review as requested.
  • Ensure that Corps Membership Rolls are up to date.
  • Update the Divisional Calendar as requested.
  • Attend and record minutes of various committee meetings as requested.
  • Prepare, distribute, and process materials related to Divisional events.
  • Assist with registration and various tasks for Divisional Women’s Word & Worship, Women’s Rally, Family Camp, Older Adult Ministries Camp, and other Divisional events as requested by the supervisor.
  • Assist with setting up, serving, and cleaning up for the Annual Command Review lunch and other special events.
  • Perform occasional work errands as needed.
  • Assist with reports and presentations for the Annual Command Review and other requested meetings.
  • Learn Corps Management Database and provide training to Officers.
  • Attend scheduled Program Department meetings.

Divisional Secretary for Business Administration’s Office:

  • Keep the supervisor aware of incident reports, insurance claims filed, and invoices.
  • Provide substitute coverage for the front desk at DHQ as needed.
  • Oversee office equipment and order office supplies as requested.
  • Ensure invoices indicate which department should be billed and provide invoices to the Finance Department for payment.
  • Order supplies for the mail/copy room and lunchroom and receive and put away new supplies
  • Clean mail/copy room regularly and keep the area organized.

Human Resources Department:

  • Assist with work-related events (annual employee picnic, Thanksgiving potluck, Christmas activities, etc.).
  • Assist hiring managers with the hiring process.
  • Process and verify new employee information in compliance with Federal and State labor laws.
  • Provide employment verifications, as requested.
  • Respond to HR-related emails and phone calls, as requested by the supervisor.
Qualifications:
  • Must embrace, support, and reflect well on The Salvation Army’s mission and values.
  • Associate Degree in business or related field preferred.
  • Minimum of three years of administrative assistant experience required, preferably in a non-profit setting.
  • A positive “can-do” attitude.
  • Keen attention to detail, adaptable, organized, and demonstrated ability to manage multiple tasks with grace and professionalism successfully.
  • Able to problem solve, think strategically and creatively, and is goal-oriented with good follow through.
  • Strong proficiency in computers, databases, and Microsoft Office.
  • Strong work ethic and time-management skills.
  • Ability to organize and coordinate multiple projects simultaneously.
  • Demonstrate discretion, integrity, and strict confidentiality in all matters.
  • Sterling interpersonal and customer service skills in person and on the phone.
  • Ability to work in a fast-paced, ever-changing environment.
  • Ability to follow written and verbal instructions.
  • Superb written and verbal communication skills
  • Valid Motor Vehicle Driver’s license is required. Must obtain and maintain driving privileges per Salvation Army insurance company.
  • Must complete KeepSAfe and other required trainings upon hire.
  • Able to respect and promote the interest of The Salvation Army. The individual is not required to embrace the tenets of faith, but he/she is required to promote and respect the mission of The Salvation Army.
