Shift: Part time, Evenings, Every Other weekend, 20 Hrs/week


Reporting to the Staff Scheduling Optimization Manager, the Staffing Coordinator is responsible for assessing and changing daily schedules as needed. Facilitates maintenance of complete schedules and resolves daily staffing challenges through the use of advanced scheduling software. Responsible for tracking and updating employee demographics including skills, certifications, point of care testing (POCT) and departmental data associated with staffing. Provides accurate record keeping of employees’ actual hours worked to assist with appropriate payment to employees.

1. Responsible for the assessment of immediate and projected staffing needs and assignment of appropriate and available staffing resources for departments, based on budgeted workload statistics and coverage count reports in conjunction with current and planned patient census. Interfaces with unit leadership and Clinical Care Coordinators to maintain awareness of staffing level issues to proactively adjust scheduling to changing volumes within schedule deadlines.

2. Maintains updated real-time information in the advanced scheduling system to allow for efficient scheduling of personnel. Facilitates schedule balancing by job, FTE status and shift. Receives call-offs and reviews self-scheduling shift requests. Inputs and edits schedule changes, swaps, PTP requests, leave of absences and other changes which affect employee availability including exception sheet edits for each assigned department and within scheduling deadlines.

3. Enters and updates employee skills, certifications, point of care testing (POCT), and licensure information into the advanced scheduling system. Records orientation schedules, new employee availability and transfers. Assists units with upcoming employee licensure and certification renewal timing updates, as requested.

4. Maintains databases of scheduled employee demographics, access profiles, access templates and job transfer sets to ensure efficiency of the advanced scheduling system, self-scheduling functionality and effective operation of the Staffing Optimization Office.

5. Responds to questions from units and staff regarding scheduling issues, employee demographics, skills, certifications, licensure and scheduling system functionality, escalating issues to the Staff Scheduling Optimization Manager as appropriate.

6. Adheres to all Northwest Community Hospital standards, policies and procedures.

Qualifications


1. High school diploma required.

2. Minimum of one year of scheduling experience in an automated call-center environment required.

3. Previous healthcare staffing experience preferred.

4. The organizational skills necessary to develop and maintain accurate employee work schedules and meet established deadlines for posting schedules, combined reports, and daily staffing projections with minimal supervision.

5. The interpersonal skills necessary to interact effectively and build cooperative relationships with all levels of nursing personnel and other staff within the organization.

6. The mathematical skills necessary to perform combined report calculations.

7. The verbal skills necessary to communicate clearly with staff and use good telephone etiquette.

8. The ability to use a computer for the storage and retrieval of data and to generate reports.

9. The ability to operate office equipment including PC workstation, printers, modem, calculator, and photocopy machine.
10. Accurate data entry skills required to input employee information and calculate combined reports.

11. Well developed organization and time management skills.

12. Must demonstrate initiative and be able to independently problem solve.



PHYSICAL REQUIREMENTS:
1. Requires very little physical effort. Requires long periods of sitting at a desk. May require occasional lifting or moving lightweight material, or rarely lifting or moving average weight material.

1. Good working conditions. Seldom exposed to disagreeable working conditions or hazards. There may be some slight irritation from noise or lack of privacy.
