Girl Scouts of Western Washington has an excellent opportunity to join the Finance team as a Staff Accountant/Payroll. The Staff Accountant /Payroll role's essential functions include managing payroll, processing cash receipts, and performing other accounting duties as assigned. The Staff Accountant will also ensure compliance with federal and state regulations and maintain confidentiality around sensitive payroll information. This is a regular full-time exempt position with the requirements to be or become a WA resident. The starting range for this position is $65,478.00 - $68,097.12 DOE

Requirements:

Essential Functions:

Payroll

  • Prepare and process bi-weekly payroll for 100 employees, 200 during the summer, using Paylocity timesheet and payroll software applications.
  • Monitor and verify employee timekeeping records and coordinate with supervisors to ensure accurate tracking of hours worked.
  • Reconcile and process payment of all payroll or benefits payable and withholdings, i.e., garnishments, health and dental insurance, pension, and staff contributions. Maintain benefits and payroll allocation and other associated records.
  • Maintain payroll files and appropriate confidentiality surrounding payroll information while being open to employee questions and concerns regarding payroll.
  • Assist employees with payroll-related inquiries, including resolving discrepancies and processing adjustments.
  • Balance and maintain ledger accounts and/or reconciliations to ensure the accuracy of general ledger accounts related to payroll and benefits. Prepare and enter monthly journal entries.
  • Keep up to date with changes to payroll regulations and laws and make recommendations to ensure compliance.
  • Monitor and comply with all applicable state and federal regulations, including wage and hour laws, tax regulations, and benefits regulations.
  • Resolve any payroll discrepancies or errors in a timely and accurate manner.
  • Calculate year-end accruals and prepare schedules for the yearly audit; assist with annual closing and annual audit as requested. Ensure accuracy and distribute W-2s and all associated quarterly and year-end payroll tax reports.
  • Manage year end accounting activities such as: reporting, 1099 and 1096 processing, annual lease updates, W-9 updates.
  • Collaborate with HR and other departments on various projects as needed.

Cash Receipts

  • Process and record all incoming cash receipts, including checks, credit card payments, and other electronic payments in accounting software for payments applicable to receivables, including pledge payments.
  • Collaborate with other departments, including the Philanthropy department to ensure that all coding is correct for cash receipts.
  • Ensure the accuracy and completeness of all financial records related to cash receipts.
  • Research and identify all miscellaneous cash receipts
  • Maintain and file all necessary documentation related to cash receipts.
  • Perform reviews of the data input to verify the accuracy, either by self-review or by review by another.

Other Duties

  • Record postage/van/facility allocations.
  • Processes all camp/troop insurance coverage requests, issues insurance certificates, processes insurance claims and works with insurance companies, health care providers, volunteers and staff to resolve claims issues.
  • Prepare and process monthly journal entries, year-end entries, and reconciliations for financial statements.
  • Balance and maintain assigned general ledger accounts and/or reconciliations. Prepare assigned monthly journal entries.
  • Ensure work is accurate and completed in a timely manner while maintaining cooperative and positive working relationships.
  • Prepare subsidiary data and analysis as needed by the Chief Executive Officer, Chief Financial Officer, GSUSA, Washington Department of Employment, or others.
  • Other duties as assigned.

Qualifications:

Required:

  • 3 – 5 years' experience in payroll and general ledger accounting.
  • Bachelor’s degree in accounting or related field or the equivalent combination of education and progressive payroll and accounting experience.
  • Ability to make good judgments and produce accurate work in a timely manner
  • Demonstrated ability to multitask, prioritize and meet deadlines, work independently, take initiative and maintain confidentiality.
  • Strong interpersonal and collaboration skills with the ability to positively resolve conflict

Preferred:

  • Knowledge of MIP Abila and Paylocity
  • Proficient in MS O365 and demonstrated expertise with financial payment processing systems including Power Query databases and advanced Excel including Pivot tables, H & V lookups.
  • Excellent communication and presentation skills, both written and oral to ensure effective interactions with individuals at all levels and backgrounds.
  • Willingness to demonstrate a commitment to support and enhance the diversity and cultural and global awareness of girls and staff.
  • Willingness and ability to travel to all regional offices within Western Washington on occasion

The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee must be able to withstand:

  • Prolonged periods sitting at a desk and working on a computer.
  • Operate office equipment manually.
  • Must be able to lift and/or move up to 25 pounds at times.
