Primary Purpose:

The Fund Services Associate is responsible for processing all contributions received by OCF and providing support for stock liquidation and gifts of real estate. This position also assists with fund administration, reporting, and continuous improvement of the contributions process. The Fund Services Associate works closely with other departments within the Foundation, particularly the Philanthropic Services Department.

This is an in-office position, Monday-Friday.


Essential Duties and Responsibilities


  • Donation Administration - Percentage of Time: 90%

  • Responsible for processing all contributions received by OCF in a manner that strictly adheres to internal control procedures and complies with IRS gift substantiation requirements.
  • Coordinate closely with the Philanthropic Services Department to ensure contribution data is entered promptly and accurately so that acknowledgement letters can be generated in a timely manner.
  • Open mail as part of a two-person control team and accurately categorize and log checks into a spreadsheet.
  • Perform regular maintenance in database including updating individual and organizational records and identifying and resolving issues that arise with contributions.
  • Serve as the administrator of the ticketing system for the Fund Services branch, managing inquiries and requests from other staff.
  • Maintain knowledge of IRS rules regarding the substantiation of charitable contributions, including fair market value of security gifts, end-of-year timing, qualified charitable distributions (QCDs) from IRA accounts, and similar requirements.
  • Provide administrative support for the management of real estate owned by OCF, including payment of bills, tracking of rental income, and other assistance as needed.
  • Track matching gifts and serve as the liaison to other intermediaries generating contributions to OCF on behalf of individual or corporate donors.
  • Maintain procedures used to perform duties of the position and proactively identify areas to improve efficiency or effectiveness of contribution processes.
  • Monitor and track additions to step up funds.
  • Generate contribution and donor reports on a periodic basis.
  • Generate and review donor lists for the annual report.
  • Provide audit support related to contribution activity.

B. Additional Duties - Percentage of Time: 10%

  • Serve as backup for the setup and administration of funds.
  • Participate in cross-departmental teams regarding organizational policies, processes and work environment.
  • Other duties and projects as assigned by supervisor.

Required Education and Experience

  • Bachelors’ degree in accounting, finance or other relevant field, or equivalent related work experience in lieu of degree.
  • Three years’ experience performing duties similar those required by the position.
  • Work or volunteer experience in the nonprofit sector preferred.

  • Knowledge of basic accounting principles and familiarity with financial products and services.
  • Experience using database software and electronic-based document management tools and practices.
  • Comfortable executing large financial transactions proficiently and discreetly.
  • Exhibits a high degree of integrity.

  • Proficiency in problem solving, analysis and using appropriate level of judgment.

  • Intermediate knowledge in MS Office Suite of products and utilization of Outlook calendar.


Physical Demands and Working Conditions:
This job is typically performed under very comfortable working conditions; any disagreeable elements are generally absent during normal performance of the job. Job duties are performed in an office setting or indoor meeting rooms. Requires repetitive use of keyboard and monitor, and ability to sit or stand for long periods at a time. Requires ability to use telephone and standard office equipment.


The physical effort typically applied in this job includes: Standing, sitting, walking, keying/typing.

The amount of effort typically applied and the frequency of application: (Whereas, the following refers to lifting, any equivalent effort may be substituted.)


Less than 1 pound – Effort applied 40-70% of the time
Between 1 and 5 pounds – Effort applied less than 15% of the time

Travel:
Travel is not required for completion of job duties.


Safety:
Support a safe work environment by performing work duties safely and according to procedures. This includes reporting all injuries, illnesses or accidents sustained while working to your immediate supervisor as soon as possible after the occurrence or within 24 hours of the injury, illness or accident, and reporting any accident involving OCF vehicles, equipment or other property, regardless of the nature of the accident, to your immediate supervisor as soon as possible after the accident.


Attendance Requirements:
Regular punctuality and attendance is required. Even as other OCF staff work a hybrid schedule, this is an in-office position, Monday-Friday.

Compensation and Benefits:
This is a regular, non-exempt, full-time position. OCF’s regular workweek is 37.5 hours. The hiring range for this position is $22.28 to $26.73/hour, DOE. Salary offers are determined in conjunction with an internal pay equity assessment.
