On-site Expectations:
  • Initial Training (approx. 2 months): on-site 5 days per week
  • Post-Training: on-site 3 days per week

The Business Support Specialist II will work under the direction of the Division Administrator and Division Chief and will provide administrative and patient scheduling support for the faculty in the Division of Gynecologic Oncology. The individual in this position will be responsible for daily activities within the Division which include but are not limited to: calendar management, procurement requests, academic and clinical scheduling, meeting coordination/preparation, processing expense reimbursements, coordinating travel arrangements and reimbursements, and providing general support to various clinical trials as requested. The Business Support Specialist will spend approximately 50% of their time managing administrative tasks and 50% of their time supporting patient scheduling.

Duties include but are not limited to:
  • Planning, organizing, and managing the administrative activities of the Division (ie. Meetings, events, conferences, outreach, and marketing)
  • Managing and coordinating business-related travel for Division faculty and staff, including booking airline reservations, solving travel challenges, processing travel expenses and reimbursements, and maintaining accurate records of expenditures (i.e., Professional Development Funds).
  • Helping with administrative processes to include scheduling interviews, creating itineraries, and conducting post-interview evaluations.
  • Coordinating calendars for assigned faculty.
  • Assisting in employee/non-employee expense reimbursements, including assisting with travel coordination for division guests via recruitment or invited speakers.
  • Registering and scheduling new Gynecologic Oncology patients.
  • Procuring new patient medical records in a timely manner.
  • Routing correspondence to referring physicians and other appropriate care providers.
  • Sharing in answering incoming telephone calls from patients and referring physicians.
Requires a high school diploma or equivalent. Prior experience in a healthcare setting is a plus. Must demonstrate the ability to act independently, have excellent interpersonal skills, and be able to maintain positive work relationships. Due to the nature of our patient population, the individual in this position must be able to handle complex situations and sensitive information in a professional and sympathetic manner. Additionally, proficiency in Outlook and Microsoft Office suite is a must. Fluency in Spanish is a benefit but is not required. The ideal candidate will possess a willingness to work collaboratively and cooperatively with all members of the General Gynecology team.
