Position Summary:

Under general supervision, but in an independent fashion and according to established policies and procedures, oversees receiving, maintenance, storing and issuing of materials, supplies and instruments. Functions include (same as Materials Coordinator): Replenishment of supplies to the cores and OR exchange carts; Return of supplies to the storeroom; building of case carts; delivery of instrument sets; identify and address expired products; receiving / put away deliveries. Additional functions (requiring knowledge, skills and competencies above a Materials Coordinator) include high level understanding of applications and processes: ORMIS – utilizing the OR schedule, printing DPCs, utilizing scheduled instrument by case report, etc. SAP – perform goods receipt functions, expiree functions, printing labels, par templates, ability to source supplies in all areas of the hospital, understanding of various transaction codes and how they affect inventory management, etc. INSTACOUNT – scanning and tracking of sets, creating set requests and collaborating with Central Sterile dept, etc. Furthermore, a Senior Materials Coordinator will be trained in inventory ordering functions so that they can support the supervisor and Lead if needed. They will also take an active role in training new hires as well as provide quality customer service to all people requesting materials, supplies, and instruments. May be called upon to delegate tasks to others in the absence of a Supervisor or Materials Coordinator Team Lead. Interacts with a wide range of Operating Room staff in critical situations to provide direct materials support. Takes inventory and cycle counts. Enters and maintains information on the computer to ensure control over the receipt, storage, pricing distribution and billing of materials. Works promptly and effectively to insure that surgical procedures have all needed supplies and instruments. Utilizes both expense and asset inventory systems to maintain financial and inventory accuracy. Materials Coordinators who meet the experience requirements of a Senior Materials Coordinator, in conjunction with a score of 80% or higher on validation of knowledge, skills and competencies will automatically advance to the rank of Senior Materials Coordinator.

Education:

A minimum of a High School Diploma or equivalent is required.

Required Work Experience:

Requires a minimum three years of experience in supply chain, materials, inventory, warehouse and/or related customer service. PC and inventory management and control system.

Knowledge, Skills and Abilities:

  • Knowledge of principles for receiving, storing, picking, staging, and shipping materials as well as inventory control computer systems, spreadsheet management, word processing software and basic database skills system acquired from one to two years experience in a related environment. Preferred knowledge of sterile procedure or OR experience.
  • Interpersonal skills necessary to assign work to staff and interact with vendors and Hospital staff in responding to requests and inquiries regarding the availability of items.
  • Work requires analytical ability necessary to operate an inventory location filing system and proper cataloging of inventory.
  • Knowledge of computers to be able to learn software programs necessary to produce materials management reports. Must be able to use pallet jack and hand carts
